BOARD OF PUBLIC WORKS AND SAFETY MINUTES November 9, 2021 Regular Session: The Board of Public Works and Safety met in regular session on Tuesday, November 9, 2021 at 9:00 a.m. in the Common Council Chambers. Members present were Norm Childress, Amy Moulton and Ron Shriner. Absent: Gary Henriott and Cindy Murray Jacque Chosnek, City Attorney, was also present. Mr. Childress called the meeting to order. The Pledge of Allegiance was given to the flag of our Country. MINUTES Mrs. Moulton moved for approval of the minutes from the November 2, 2021 regular meeting. Mr. Shriner seconded. Passed. NEW BUSINESS Engineering Change Order #1-Brady Lane Drainage Improvements Project Jeromy Grenard, Public Works Director, presented to the Board and recommended approval of Change Order #1 for Brady Lane Drainage Improvements Project with Midwest Paving. The change order is an increase in the amount of $492.13 which brings the revised contract amount to $81,526.33. The change order includes underrun in plan quantities, contractor was directed by City staff to add French drain to the project; and contractor requested additional days to finish final roadway patch. The change in final completion date was April 30, 2021 and moved to August 1, 2021. Mr. Shriner moved for approval. Mrs. Moulton seconded. Passed. Purchasing Contract Renewal-2022 Fuel Contract with Newton Oil Dave Payne, Purchasing Director, presented to the Board and recommended approval of a Contract Renewal for the 2022 Fuel Contract with Newton Oil. Mr. Payne stated that is renewal (original 2007 contract) for gasoline, diesel, bio-diesel and ethanol fuels supplied by Newton Oil for calendar year 2022. Mr. Payne stated that Newton Oil will provide guaranteed same day delivery in most instances or, on deliveries made beyond the date of the order, they will honor rack price from date of order or the rack price on date of delivery, whichever is less. Mr. Payne stated that supplier pricing for freight and adder since 2007 will remain constant throughout the contract renewal period. Mr. Shriner moved for approval. Mrs. Moulton seconded. Passed. Board of Public Works and Safety November 9, 2021 Page 2 Lafayette Renew Recommendation for Award-Rome Drive Lift Station Upgrades Project Brad Talley, Renew Superintendent, presented to the Board and recommended approval of a Recommendation for Award for the Rome Drive Lift Station Upgrades Project with Maddox Industries Group in the amount of $126,915.50. Mr. Talley stated that sealed quotes were opened by the Board of Works on October 19, 2021 with Maddox Industrial being the lowest responsible quote. Discussion ensued regarding the details of the project. Mr. Shriner moved for approval. Mrs. Moulton seconded. Passed. Water Works Permission to Advertise-Wea Ridge Water Tower Project Steve Moore, Water Works Superintendent, presented to the Board and recommended approval of a Permission to Advertise for the Wea Ridge Water Tower Project. Publications are set to run on November 12 and 19, 2021 with the bid opening scheduled for December 14, 2021. Mr. Moore stated that this project encompasses a 2-million- gallon water tank just west of Wea Ridge Elementary School. Mrs. Moulton moved for approval. Mr. Shriner seconded. Passed. CLAIMS Jeremy Diehl, Controller, presented for Board approval, Claims in the amount of $3,628,529.53. Mr. Childress asked if there were any further questions and there were none. Mrs. Moulton moved for approval. Mr. Shriner seconded. Passed. MISCELLANEOUS Special Event Request-Holiday Farmer’s Markets Kim Murray, Event Representative, presented to the Board and recommended approval of a Special Event Request for the Holiday Farmer’s Markets to be held on November 20, 2021 and December 4, 2021 from 8:00am to 3:00pm located in the designated Farmer’s Market area of Downtown. Mr. Shriner moved for approval. Mrs. Moulton seconded. Passed.
