BOARD OF PUBLIC WORKS AND SAFETY MINUTES February 27, 2024 Regular Session: The Board of Public Works and Safety met in regular session on Tuesday, February 27, 2024 at 9:00 a.m. in the Common Council Chambers. Members present were: Gary Henriott, Cindy Murray, Ron Shriner and Amy Moulton. Absent: Eric Rody Jacque Chosnek, City Attorney, was also present. President Henriott called the meeting to order. The Pledge of Allegiance was given to the flag of our Country. MINUTES Mrs. Moulton moved for approval of the minutes from the February 20, 2024 regular meeting. Mr. Shriner seconded. Passed. BIDS UNDER ADVISEMENT Request for Proposal/Qualifications for Service Area 11B President Henriott stated that this item will remain under advisement. NEW BUSINESS Engineering Recommendation for Award-Valley Forge Concrete Replacement Project, Phase 2 Ms. Chosnek presented to the Board and recommended approval of a Recommendation for Award for the Valley Forge Concrete Replacement Project, Phase 2 with Dixon Construction in the amount of $208,890.00. The bid was determined to be complete. Mrs. Murray moved for approval. Mrs. Moulton seconded. Passed. Contract-Valley Forge Concrete Replacement Project, Phase 2 Ms. Chosnek presented to the Board and recommended approval of a Contract for the Valley Forge Concrete Replacement Project, Phase 2 with Dixon Construction in the amount of $208,890.00. Mr. Shriner moved for approval. Mrs. Moulton seconded. Passed. Notice to Proceed-Valley Forge Concrete Replacement Project, Phase 2 Ms. Chosnek presented to the Board and recommended approval of a Notice to Proceed for the Valley Forge Concrete Replacement Project, Phase 2 is set to start today. Mrs. Moulton moved for approval. Mrs. Murray seconded. Passed. Board of Public Works and Safety February 27, 2024 Page 2 Water Works Supplemental Agreement #2-Wea Ridge Elevated Water Tank Project Steve Moore, Water Works Superintendent, presented to the Board and recommended approval of Supplemental Agreement #2-Wea Ridge Elevated Water Tank Project with Butler, Fairman & Seufert. The construction contract time has been exceeded, and the original agreement stated that inspection fees were based on a one-year construction duration and the contract time is now into the third year. Mr. Moore stated that the construction observation is in the amount of $43,000.00, which is an increase of $16,600.00 and the construction inspection is in the amount of $194,000.00, which is an increase of $25,468.00. Mr. Moore gave the Board a brief update and provided details about the project. Colin Sullivan, Butler, Fairman, & Seufert, answered questions from the Board regarding the project. Mr. Shriner moved for approval. Mrs. Murray seconded. Passed. CLAIMS Jeremy Diehl, Controller, presented to the Board approval of Claims in the amount of $4,456,166.01. Mr. Shriner asked a question on Page 12 regarding the WREC invoice for President’s Circle Membership Investment. Mr. Diehl stated that is an annual invoice from the Greater Lafayette Commerce. Mayor Roswarski explained the membership details to the Board. President Henriott asked a question on Page 15 regarding the Veregy In. LLC invoice for WWTP Solar Field project status. Mr. Diehl stated that the project is 41% complete. Mr. Talley stated that the project is set to be complete late summer/early fall 2024. Mrs. Murray moved for approval. Mr. Shriner seconded. Passed. MISCELLANEOUS Special Event Request-2024 Arbor Day with Tree Lafayette Jeri Massey, Event Representative, presented to the Board and recommended approval of a Special Event Request for 2024 Arbor Day with Tree Lafayette to be held on April 27, 2024 from 7:00am-1:00pm located at the intersection of Ruger Street and S. 26th Street going both east and west off S. 26th Street. Ms. Massey stated that Tree Lafayette will be planting 58 trees with 150 volunteers for this event. Mrs. Moulton moved for approval. Mr. Shriner seconded. Passed.
