JOINT PURCHASING BOARD December 16, 2014 The Joint Purchasing Board met on Tuesday, December 16, 2014 at 1:00pm in the Board of Public Works and Safety room, 20 North 6th Street, Lafayette City Hall. Present were: Tom Murtaugh, Mayor Roswarski and Jennifer Weston. Absent: Cindy Murray Also present were: Rick Morrissey, City of Lafayette Purchasing Agent Mayor Roswarski called the meeting to order. APPROVAL OF THE MINUTES Mrs. Weston moved for approval of the minutes from the December 10, 2014 meeting. Mr. Murtaugh seconded. Motion carried. Recommendation for Award-Gravel, Sand, Limestone & Soils + Ready Mix Crushed Limestone Rick Morrissey, Purchasing Manager, stated that two out of the three bidders have not fulfilled their obligation on requested bid documents i.e. Certificate of Insurance and Bind Bonds. Mr. Morrissey stated that this doesn’t affect their bid so the approval of the recommendation would be contingent upon receiving a bid bond from Harsco and Certificate of Insurance from Hanson Materials prior to the first purchase under the contract. Mr. Morrissey presented to the Board and recommended approval of a Notice of Award to US. Aggregates at the Delphi and Monon Quarry locations, Hanson Material Services and Harsco Metals & Aggregates as quoted for Crushed Limestone in the order of low bid received and up, depending on availability to supply. Mr. Murtaugh moved for approval. Mrs. Weston seconded. Motion carried. Gravel Aggregates Mr. Morrissey presented to the Board and recommended approval of a Notice of Award to Purdy Materials and U.S. Aggregates-Swisher Plant as quoted for Gravel Aggregates in the order of low bid received and up, depending on availability to supply. Mrs. Weston moved for approval. Mr. Murtaugh seconded. Motion carried. Ready Mix Products Mr. Morrissey presented to the Board and recommended approval of a Notice of Award to Purdy Concrete and Prairie Materials as quoted for Ready Mix Products in the order of low bid received and up, depending on availability to supply. Discussion ensued regarding the surcharge and load charges from Prairie Materials. Mr. Murtaugh moved for approval. Mrs. Weston seconded. Motion carried. Soils Mr. Morrissey presented to the Board and recommended approval of a Notice of Award to Purdy Materials as quoted for Soils in the order of low bid received and up, depending on availability to supply. Mr. Murtaugh moved for approval. Mrs. Weston seconded. Motion carried. PUBLIC COMMENT There was none. With no further business to come before the Board, Mrs. Weston moved to adjourn.
