JOINT PURCHASING BOARD February 23, 2016 The Joint Purchasing Board met on Tuesday, February 23, 2016 at 9:30 a.m. in the Board of Public Works and Safety room, 20 North 6th Street, Lafayette City Hall. Present were: Mayor Roswarski, Cindy Murray and Robert Plantenga. Absent: Tom Murtaugh Also present were: Rick Morrissey, City of Lafayette Purchasing Manager Mayor Roswarski called the meeting to order. APPROVAL OF THE MINUTES Mr. Plantenga moved for approval of the minutes from the February 11, 2016 meeting. Mrs. Murray seconded. Motion Carried. NEW BUSINESS Recommendation for Award- 2016 Asphalt and Bituminous-Coated Aggregate Rick Morrissey, Purchasing Manager, recommended approval of the Recommendation for Award of the Asphalt and Bituminous-Coated Aggregate to all bidders which include Asphalt Materials, Marathon Petroleum, Milestone Contractors and Rieth-Riley. It is in the best interest of both government agencies to seek the supplier with the lowest bid first and with consideration based on availability. Mr. Plantenga moved for approval. Mrs. Murray seconded. Motion Carried. Discussion Regarding Asphalt Materials Mr. Morrissey stated that Asphalt Materials included a letter in their bid stating that they were going to utilize escalation and de-escalation pricing. When Jay Longenecker found out that the letter existed, he sent Mr. Morrissey a letter on February 22, 2016 stating that Asphalt Materials would like to rescind that letter. PUBLIC COMMENT There was none. With no further business to come before the Board, Mrs. Murray moved to adjourn. Mr. Plantenga seconded. Motion carried.
