Committee Member Gary Glenn led the prayer.
2. Quorum/Roll Call – Joyce Moore
Committee Member Joyce Moore completed the roll call of the members and confirmed a
quorum.

Committee Member Vivian Daniel reminded everyone of the Norms of behavior for
Committee meetings.

5. Approval of Previous Meeting Minutes – Special Call Meeting December 19, 2020

6. Update on Past/Perfect – Marlene Taylor-Crawford
Committee Member Taylor Crawford explained that the PastPerfect software is used by
thousands of organizations and societies such as archives, libraries and other institutions
nationally and internationally. The software is used by Gwinnett County Natural and Cultural
Resources | Parks and Recreation to record and track inventories and artifacts for the
Historical Society and other organizations.
She reported that staff members from Gwinnett County Natural and Cultural Resources
demonstrated the software functionality during a webinar on January 13, 2021 at which
Committee Members Brown, Taylor Crawford, Maxey and Moore attended. She also
explained that Committee Member Moore had provided descriptions and photos of two items
that were used in the demonstration. One was a donated item and the other was a loaned
item.
During the demonstration, staff members showed how the data for the artifacts, donated and
loaned, would be input and cataloged in the system. They also discussed their internal
processes for receiving items, obtaining descriptions, ascertaining if it is a gift/donation or on
loan and input into the system/PastPerfect.
There was some discussion regarding the on-going ownership of the Hooper-Renwick
artifacts. Would they be the property of Hooper-Renwick, the City or the County? Committee
Member Moore stated that per the IGA, all artifacts not designated as “loaned” will be the
property of the City of Lawrenceville.
7. Update on Gathering of Artifacts – Joyce Moore
Committee Member Moore reported that we have forty-seven (47) artifacts for which we have
committed donations or loans. Further, she advised that a report of the artifacts was
submitted to City Manager Chuck Warbington on January 8, 2021. Also, per the IGA, we are
required to provide bi-monthly reports to the City/County on additional artifacts
donations. Consequently, the next report is due to the City on March 8, 2021.
Discussion ensued regarding how committee members should reach out to stakeholders to
obtain more artifacts. There was discussion around development of a plan of action and how
to effectuate such a plan.
Committee Member Moore advised that she is still collecting donations and loaned artifacts
for the Library. She asked that anyone with artifacts not already reported email her that
information. Committee Member Taylor Crawford advised that there is technology available
that would allow shared access that would eliminate the need for the exchange of emails and
spreadsheets. She said that she would look into acquiring this technology and report back to
the Committee.
Committee Member Neal asked if all the Committee Members could receive a copy of the
report. Committee Member Moore promised to send the report out to all members.
Members were reminded to reach out to the local community and beyond to communicate
the story of the Hooper-Renwick Library and collect artifacts related to the history of the
Hooper-Renwick School and the African American community in Gwinnett County.
New Business
8. Celebrating Black History – Rubye Neal
Committee Member Rubye Neal gave an informative, enlightening and emotive presentation
on several incidents that occurred in the lives of African American citizens in Gwinnett
County. She provided an intimate insight into the history of African Americans’ every day
struggles to survive.
Mayor Pro Tempore Victoria Jones acknowledged Committee Member Neal and thanked her
for her presentation and her on-going contributions to the City and County.
