LAWRENCEVILLE ARTS COMMISSION MINUTES Tuesday, August 09, 2022 Third Floor GwMA Conference Room 6:00 PM 70 S. Clayton St, GA 30046 Call to Order The meeting was called to order at 6:05 PM, recognizing a quorum. Approval of Agenda One change was asked to be made to the agenda. Alicia Chitwood will be presenting the Branding Committee Update. Motion to approve the amended agenda was made by Commission Member Walden, Seconded by Commission Member Sanders. Voting Yea: Commission Member Chitwood, Commission Member Walden, Commission Member Sanders, Commission Member Alhabashi Voting Abstaining: Commission Member Hammond (arrived at 6:16 PM), Commission Member Stone- Collins (arrived at 6:06 PM) General Discussion 1. Branding Committee Alicia Chitwood provided an update from the Branding Committee. During the last meeting the Arts Commission voted to approve spending $750 for shirts and stickers to be purchased and handed out at the last event. The next event will require additional funds and will ask for those as they get closer to the event. The shirts were a hit and went quickly, even though they were not given to everybody. During the Chalk Walk, several shirts were handed out, particularly to the judges, and were also placed in the prize packets. Aurora provided gifts for the winners as well. Pictures will be posted on the Arts Commission web page. The Arts Commission determined that future Chalk Walks should have a theme. The Arts Commission agreed for future Chalk Walks with Aurora that the Commission would coordinate judges and help market to the DTL, City of Lawrenceville and personal/professional network audiences  while Aurora will coordinate everything else using the collateral and systems developed as a team during this prototype event. In the future, the Commission may provide financial assistance to Aurora for the events via our Sponsorship program once launched. All agreed that the Arts Commission being involved made the event seem more legit. The Aurora did coordinate the volunteers for this event. The Arts Commission will need to come up with a hashtag, and this will be an item on the next meeting's agenda. #lawrencevilleartscommission seems too long. The Branding Committee will collect suggestions so the group can vote on them. The stickers, as well as the t-shirts, were well received, however, a less expensive "handout" will be needed in order to continue to advertise the Arts Commission at events. The remaining t-shirts can continue to be given to volunteers. 2. Grants Committee Aura-Leigh Sanders indicated that group was unable to meet as planned. She will commit to sending out the draft notes to Alice and Katrina on previous grant discussions for public art and looking at sponsorships. 3. Community Outreach Committee Amber Walden indicated that they have not met as a group, but the recent Chalk Walk was part of Community Outreach. Amber will be unable to attend the Neighborhood Night Market on Saturday and will need a volunteer to replace her. The lighting issue for the tent has not yet been resolved, so they will need to end at the Night Market by 6:00 pm. The lighting issue will need to be resolved by BooFest. In addition, they are in need of pink and purple paint and Amber and Aura-Leigh will meet to determine if any additional supplies are needed. Rain during an event ruined some of the rocks that were out drying. Some sort of cover will be purchased to hopefully avoid this issue in the future. Pumpkins will be purchased for Harvest Fest and Amber is beginning to look for those. 4. Budget Aura-Leigh Sanders provided an update on the budget. The key item to note is that the $2,000 for the GA Mural Trail grant was taken from Supplies and not Capital Projects. The funds have been returned to the Supplies budget. Once Grants are being paid out, more discussion will take place on the budget. 5. Community Mural Aura-Leigh Sanders provided an update on the Community Mural project. There have been no submissions received from the Call for Art. There were about four inquiries, but nobody actually applied. Aura-Leigh would like to discuss extending the deadline to be able to send this out to more people. She indicated that she will try to talk to some of those that declined to see if there was a problem with the application process. Approximately 10 e-mails were sent out to individuals. The price per square foot was not included, only the rendering price. The original price was not put on the Call to see what the submissions would come back with, so it is possible the lack of pricing is keeping people from applying. Since there were no  submissions, the group discussed adding the Call to social media. The rendering fee would need to be removed, and then can be paid to the finalists. The paint-by-number may be keeping people from applying. An Open Call would still be better, and they can remove the $200 rendering fee payment for everyone, select 3-5 finalists from the submissions, have them do a mock-up and present that to Council for approval. Motion to open the Call for Art up widely and remove the $200 rendering fee. A group of 3-5 finalists will be chosen and they will be paid $200 for a full color rendering, and from those renderings 3 will be presented to Council for approval. Motion to change Open Call final submissions date and time will be changed to Friday, September 30, 2022, at 11:59 PM EST was made by Commission Member Walden, Seconded by Commission Member Chitwood. Voting Yea: Commission Member Hammond, Commission Member Chitwood, Commission Member Stone-Collins, Commission Member Walden, Commission Member Sanders Voting Abstaining: Commission Member Alhabashi After further discussion, it was determined that "compensation will be based on square footage" should be added to the Call for Art. Motion to change the Open Call final submissions date and time will be changed to Friday, September 30, 2022, at 11:59 PM EST and that compensation will be based on square footage was made by Commission Member Walden, Seconded by Commission Member Chitwood. GA Mural Trail Aura-Leigh Sanders shared that the first draft rendering was provided and it is apparent that more direction will need to be provided. Once the second rendering is received it will be shared with the group. The draft was done on a picture of the side of McCray's and it will be incredibly impressive once completed. Other Business There was no other business. Citizen Comments Citizen Comments will be limited to two (2) minutes per person. The Arts Commission Members will not respond to comments. A brief discussion regarding the size of the Community Mural project took place. Final Adjournment Motion to adjourn was made by Commission Member Stone-Collins, Seconded by Commission Member Walden.
