Minutes of the Meeting of the Kimberly-Little Chute Public Library Board March 20, 2012 The meeting was called to order at 4:34 p.m. by President Moes at Gerard H. Van Hoof Library in Little Chute. PRESENT: Amanda Fletcher, Kris Graff, Jim Hietpas, Jim Moes, Ben Schultz, Marcia Trentlage, Lori Vanderloop. EXCUSED: Rose Vander Velden. OTHERS PRESENT: Beth Carpenter, Ann Hardginski. New Library Board members, Amanda Fletcher, Kris Graff, and Ben Schultz, were introduced and welcomed. Trentlage moved, seconded by Hietpas, to approve the minutes of the February 21, 2012 meeting. Motion carried. Fletcher moved, seconded by Vanderloop, to approve the February 2012 invoices. Motion carried. The February financial and statistics reports were discussed. DIRECTOR’S REPORT Carpenter reported on issues at Kimberly with kids after school. One student has been banned from the library for 3 months, and two students have been banned from using the computers due to violating the Internet Policy. Carpenter has been working with Fox Valley Metro PD and their school liaison officer to address the situation. In addition there was an incident involving a patron being approached by another person in the library asking for personal information. Carpenter will be gathering more information about the issue to see if any action needs to be taken. Carpenter will be replacing the Kimberly security DVR, as it is showing errors in recording and there is a need to be able to view security footage from both locations from any staff computer, which isn’t currently possible for the Kimberly cameras. Carpenter recently attended a workshop in Green Bay on Chapter 43. She reported on the usefulness of the Trustee Handbook for guidance on Director and Library Board duties. Marsha Hasting’s last day at the library was March 16th. The library is now short 2 staff members. Carpenter thanked the library staff for filling in extra hours to keep both locations running smoothly. Six people were interviewed for the 2 open Library Assistant positions. Jennifer Huss has been hired to fill one position and will start on April 2nd. The other position is still under negotiation. Carpenter reported on the difficulty with finding people who won’t be sharing a part-time position at the library with another part-time position elsewhere, as it may be hard to keep quality people if full-time positions open elsewhere. 5 out of 6 people interviewed would be sharing multiple part-time jobs if hired. Four people are being interviewed for the open Summer Student position. Carpenter and Hardginski hope to have a candidate selected by the end of the week. Carpenter thanked Library Supervisor, Judy Clark, and Youth Services Librarian, Ann Hardginski for assisting with the interview process. Kudos were given to Library Assistant, Sheryl Pendleton, for successfully completing an inventory of the Little Chute collections. It was a year-long process. Inventory of the Kimberly collections will begin soon. Carpenter asked Moes and Trentlage for an update on new FOLKS officers. Barbara Fleming will return as President, Barbara Wentzel will serve as Vice-President, Nancy Wood will serve as Secretary, Moes will be Treasurer, and Zale Glee will join as Director at Large. Their next meeting will take place on April 13th at Little Chute. 51 people attended the wine and cheese tasting event on March 1 st. Carpenter thanked Festival Foods for providing everything for the program at no charge. The Fox Cities Book Festival and Fox Cities Reads author visits are the next scheduled events for adults. Visiting authors include Jay Gilbertson, Scott Stoll, Sandra Kring, Brianna Karp, and Bill Strickland. It has been a challenge to find space to host the events, as shared community space in the civic wings at both locations is in high demand. This year’s Book Festival includes over 75 authors and over 80 events. Displays of bookfest authors’ books are available at both locations. Carpenter serves as the bookfest webmaster – she shared concerns about continuing in this role if the festival remains this large. Printing issues have been problematic at Kimberly. There is a need for a centralized printing system there, as was established at Little Chute. Carpenter will investigate options under the current restrictions of the equipment lease that runs into 2013. Carpenter met with the 3M representative to explore options for repairing the patron counter at Little Chute, as well as gate replacements and options for automated materials handling that would assist staff. Many options are not possible due to constraints placed by physical space available at both locations. Carpenter has researched other patron counter options and will purchase a stand-alone counter for Little Chute that will not be tied to the security gates. Moes suggested purchasing one for Kimberly, as well. OneClickDigital downloadable audiobooks are now available via the InfoSoup website. The audiobooks are always available (can be checked out by multiple people at the same time) and are iPod compatible. Carpenter thanked OWLS for providing this service to member libraries. Kimberly department managers participated in the interview process for the new Kimberly Administrator on March 9 & 10. A candidate has been selected and will start on April 25. Help for the Homeless and Fines Amnesty is bringing in donations, but response has been slow this year. The flooring project in Little Chute is scheduled to take place April 6 & 7. The library will close at noon on April 5th so staff can clear the area to be replaced. The library will be closed Friday through Sunday and will re-open on Monday, April 9. The Kimberly library will be closed on Good Friday, but open Saturday, April 7th. Carpenter shared a discussion with Little Chute Administrator, Chuck Kell, regarding an offer of property for a library or other municipal project he was approached with. No additional conversations have taken place, however, Carpenter shared her thoughts about restraints placed on the current library due to space limitations, sharing programming space, collection development challenges, materials handling limitations, and staffing issues with operating two locations. YOUTH SERVICES REPORT Hardginski shared a brochure listing upcoming youth programming, including baby story time, a Captain Underpants party, National Library Week concert with Fred Turk, and a Book Bingo night. Lorax Day will be a part of Earth Week celebrations in the Fox Valley. After school Wii hour at Kimberly is available on Mondays. Hardginski is seeking help from the Kimberly High School Key Club to keep the program running. School visits and library tours are going well. Little Chute preschool classes came to the library on March 20th, and Hardginski visited Woodland School to share Dr. Seuss stories with 3rd graders on March 5th. The library will serve as a pick up point for World Book Night. Community members participating in the program will be able to pick up free books provided by various publishers to distribute throughout the community. More information about this program can be found at http://www.us.worldbooknight.org/. Planning for the summer reading program is progressing, and donations for the program are coming in. Hardginski will speak to the Little Chute Senior Service Club on March 21st. OLD BUSINESS There was no old business to discuss. NEW BUSINESS The updated OWLS System Membership Agreement was presented and discussed. Trentlage moved, seconded by Graff, to approve the Agreement as presented. Motion carried. Carpenter asked the Board for input on Library Plan goals and objectives and shared information regarding the standards measurements used in the planning process. Discussion followed. Carpenter suggested moving two objectives to 2012 regarding a space needs assessment and cost-benefit analysis of operating the library in a single facility. There was a consensus to do so. Carpenter recently met with Rick Krumwiede from OWLS to discuss the possibility of starting a space needs assessment and cost-benefit analysis. Krumwiede is willing to facilitate the process with assistance from Carpenter. There was a consensus to proceed. ITEMS FOR FUTURE AGENDAS Items offered for the next meeting’s agenda included establishing a reserve stall for materials return/pick up and April volunteer recognition. Trentlage requested a report on the trend of publishers eliminating print copies of books while moving to digital editions.
