Minutes of the Meeting of the Kimberly-Little Chute Public Library Board April 17, 2012 The meeting was called to order at 4:32 p.m. by President Moes at the James J. Siebers Memorial Library in Kimberly. PRESENT: Amanda Fletcher, Kris Graff, Jim Hietpas, Jim Moes, Rose Vander Velden , Lori Vanderloop. EXCUSED: Ben Schultz, Marcia Trentlage. OTHERS PRESENT: Beth Carpenter, Barbara Fleming. Hietpas moved, seconded by Vanderloop, to approve the minutes of the March 20, 2012 meeting. Motion carried. Vander Velden moved, seconded by Fletcher, to approve the March 2012 invoices. Motion carried. The March financial reports were discussed. Carpenter noted unexpected expenses to replace patron counters, the Kimberly security DVR, a security camera at Kimberly, and a computer purchased in 2011 via OWLS that wasn’t billed until now. Discussion followed. The March statistics report was also discussed. DIRECTOR’S REPORT New Library Assistant Jennifer Huss resigned after only 2 days of training in order to take a full-time position elsewhere. Carpenter will look to the recent pool of applicants to fill the position again. Training is going well with Jenni Helen and will continue in the coming month. Carpenter reported that the after school issues with kids at the Kimberly Library are settling down. Other security issues have also been dealt with in a timely manner with thanks going to the Fox Valley Metro Police Department for their assistance. The security DVR in Kimberly had to be replaced. Carpenter can now access all security cameras from any location via the web, which is a great improvement. FOLKS met on Friday, April 13th for their annual meeting for election of officers. Carpenter thanked them for donating $500 to support the Fox Cities Reads author visit and $500 for the summer reading program. Their 501c3 application has been received, and they are awaiting word on its final approval. Fleming reported that she will be reconfiguring the directors positions on the FOLKS Board to share duties more efficiently and that FOLKS will be looking at fundraising options once the 501c3 application is approved. Carpenter reported on Fox Cities Book Festival events and upcoming programs in May, including a safe cycling class and author visit being shared with the youth department. Staff members, Corinne Herro and Angela Schneider, have been hard at work planning the 2012 adult summer reading program. The flooring project in Little Chute is complete and went well. Carpenter thanked Dave Neumann for his help with the project. A New Books sitting area was also created during the project. Carpenter completed the annual inventory of Kimberly assets (e.g. furniture, shelving, computers, etc.) and will be working on the Little Chute inventory in the coming weeks. New wireless patron counters have been received and will be installed soon. The new counters will be able to report patron visits per hour of each day with statistics able to be downloaded to a computer. YOUTH SERVICES REPORT A Youth Services report from Ann Hardginski was shared. Spring family story time sessions are complete. An average of 53 people in Kimberly and 47 in Little Chute were present each week. 44 Muppet fans came to family movie night, and an average of 11 people attended Book Babies story times each week. The Captain Underpants Party on April 2nd was a great success with attendees enjoying trivia, a drawing station, a Name Changer, underwear fling, and more. Fred Turk helped kick off National Library Week on April 9th with a family concert, and Book Bingo night celebrated Turn Off the TV week with 28 participants. The final Pooches & Pages event will take place on April 21st. Thanks go to Compassionate Canines for faithfully supplying volunteers and pooches for this wonderful program. It will resume again in the fall. Upcoming programs include Lorax Day and The Big Read, as well as a visit from Cheyenne the pot-bellied pig. Hardginski will be attending the annual CCBC Choices Book Workshop in De Pere on April 18th, and on May 2nd she will spend the day at Kimberly High School serving as a judge to Kendra Scherg’s early childhood class as they present their theme boxes as part of their certification process. Summer Reading Program is fast approaching, so plans continue to progress. To date, $2125 in community donations has been received to support the program. In addition, Half Price Books donated 16 boxes of free prize books for incentives. This summer, the program will expand from 6 to 8 weeks (June 11-August 3). OLD BUSINESS There was no old business to discuss. NEW BUSINESS The 2013-2017 Capital Improvement Plan for the library was presented and discussed. Vander Velden moved, seconded by Moes, to approve the Plan as presented. Motion carried. A request for consideration to approve an expenditure of up to $250 from the Joint Library Trust Fund for a volunteer appreciation luncheon and student gifts was presented and discussed. Fletcher moved, seconded by Vander Velden, to approve the request. Motion carried. A request for consideration to create a drop off/pick up parking stall in the parking lot at each location was presented and discussed. Hietpas moved, seconded by Graff, to approve that the requests be taken to each Village Board for review and approval. Motion carried. ITEMS FOR FUTURE AGENDAS Items offered for the next meeting’s agenda included a closed session to complete the Library Director’s performance evaluation. An evaluation form will be sent with the meeting’s agenda for completion by each Board member before the meeting. Carpenter will also report on the trend of publishers eliminating print copies of books while moving to digital editions per Trentlage’s past request.
