Approval of Minutes - May 16 ,2023 Motion by Laurie Second by Covert to approve the minutes as presented. Aye: All Nay: None Motion Carries MEETING OPEN TO THE PUBLIC Resident Bill Muir was present at the meeting. He Introduced himself to the group and mentioned that he is active with Little Baseball and Lamphere school’s Athletic boosters. He stated that he was a big supporter of the arts. REPORTS 2. Treasurer Report: Trail tunes has $3,064.13. Arts Board has $3,106.10, Pumpkin Walk $242.82 3. Social Media Report: With more events in the summer and falls month the Arts Board Facebook page has seen a 227% increase in reach. The Arts and Pride post had 47 reaction 2 comments 2 shares. The Board will continue to be more active in posting are the summer months go on. UNFINISHED BUSINESS 4. Trail Tunes (Bliss, Dombrowski, Palazzolo,Theodoroff) Councilman Bliss gave the board an update on the planning process: eight bands have signed up to date. He mentioned that the call to bands ends July 5th. Ideally, We are trying to get 12 bands play at Trail Tunes this year. Two local jazz ensembles are returning for this year. City Council voted to approve the use of a beer tent at this years festival, The Police Department and Lamphere both here gave approval. They are looking to use the Sound Guy from Juneteenth. It would cost 1800 for sound and stage for battle of the bands. Covert gave and Off the Trails Fundraiser update - Confirmed date with Mia it is August 11th Friday Night. There have been discussions about planning the event up to three weeks before trail tunes This date was selected so it would be interfere with the Woodward Dream Cruise. Covert mentioned that he is looking for donations for the event, Specifically, looking for different items. Possibility a Mural of some sort and getting more experienced instead of gifts. He has confirmed Two baskets from Costco. 2 5. Pumpkin Walk (Geralds, McBride, Theodoroff) Gerald’s gave and update: The Pumpkin walk has been rename to Trail of Treats. There has been an email sent out to people who participated before, seven people said that they are available to date. The confirmed date for the event is October 21st with October 22nd as a rain date. The subcommittee can meet to get more groups and experiences. DJ Stevy D AKA Chair Steven Dombrowski is available to DJ the event. The subcommittee is hoping to bring the witch dance back this year. 6. Statewide Independent Living Council proposal for inclusive art in Madison Heights (Rohrbach, Mcbride, Dombrowski, Geralds, Nagle) McBride gave updates to the group: All of the art pieces have been chosen. All submissions are from around the state of Michigan and identify of all disabilities. The Reception and Art display is Going to take place in the Library instead of the City Hall. The large scale art piece is going to start at 1PM where everyone will work on the mural together. Pavilion is booked. Facebook event is set up we are a cohost. There will be an ice cream truck and face painting going from 1-4 PM and from 4- 5PM a little reception in the library to view their art. McBride asked that if you are interested in volunteering to let her know.. July 19th a round table event will take place on Facebook live where they will talk about disability month. The group has received Three submissions for large scale art piece. Nagle suggested that putting mirrors to the mural to symbolize that anyone can be disabled. 7. Grant Opportunities A. Play Everywhere KaBoom Grant! - Finish painting the sidewalk - Spring 2023 (Owczarzak) No New Updates. B. Progress Forward - Community Advisory Board (CAB) $5,000 January 20,2022 - Award Notice: Trail Tunes $2,500/Gala $1500 went to the Mural will have to Reapply. (Pumpkin Walk denied as violation of their governing rules prohibit marketing to children. - New Proposals (Geralds, Bliss, Rohrbach) Note we are asking for 5,000 for trail tunes, Follow Up with Melissa to see if it is coming. Check for Application. (Re apply for Gala 1500) Two applications for CAB , The Board decided they are not going to apply for the gala. They are going to fundraise instead. 3  C. Band Stand Grant, MEDC Crowd Funding Campaign (Dombrowski, Palazzolo, Theodoroff, Geralds, Bliss, ) Schedule a subcommittee meeting to go to those two parks. As well as meet with DPS to walk through park to finalize the best spot for it. There is the potential to have a public private partnership to fund this bandstand. Walk the park to show the options. Motion by Geralds Second Covert to replace Emily for Laurie on this subcommittee n The board discussed when the subcommittee will meet. The proposed date was July 10th 8. Arts and Pride Recap (Nagle, Geralds, Theodoroff, McBride) Nagle gave update on event: It was very successful. It took place June 4th from 2-6PM out of the 9 volunteers 8 showed up and most brought a friend, estimated 120 people came. There was Live Music. In the future the group will make sure to work with the health department if providing food. Button Making station, Charactere local officials attending, got characters done. Tie die stuff was left over will be used at Juneteenth. Finances for the event are as follows: 200 Pledge from HREC, 200 from arts board, 300 seed money. 133 cash donated. MR MRS Nagle donated 40 worth of printing, Munchies were provided by Quinn, Jillian and Eve, several other people had other packets of food, Comics, and more sponsored DJ fee. Heather Son donated his appearance fee is 200 bucks, 650 in non-monetary donations. About 50 left over for next year’s event. Contact info in people who are interested in volunteering next year. 9. Gala (Geralds, Bliss, Dombrowski, Palazzolo, Nagle) - November 17, 2023 Geralds gave an update: The event will take place November 17th It has been confirmed at Club Venetian, the theme is Power of imagination. We plan to honor Jennifer Ramirez at this event, Event going to have four quadrant and other have quadrants, Attendees should dress Creative formal. One of her colleagues is going to help and borrow decorations. We plan on selling tickets at Off the trail and Trail Tunes. Zozett and the groove is willing to perform at the event from 8-12. Possibility of signature cocktails aligned with the elements, $75 a ticket. $65 if you buy a table at 10. $85 tickets at door. Need a minimum of 100 to be profitable. 250 is max occupancy for room at club venetian. Average cost per plate is 35 per plate, included beer and wine. Ask if if we are tax exempt. 4  Motion by Geralds Second by Nagle to allocate 400 towards decor, Motion by Bliss second by Covert up to 1000 seed money. Aye: All Nay: None. Motion Carries 10. Civic Center Complex Renovation - Art Installation Project (Bliss, McBride, Nagle, Covert) Owczarzak gave an update. We are working on notifying everyone. We will have the summer intern help reach out to the rest of everyone to let them know if they were selected. We plan to have the Art Up by August. 11. Bike Rodeo, Recap (Dombroski, Covert, Nagle) Covert Gave an update: He said that the kids loved all of the stickers. All the helmets donated by St Johns hospital.. Congresswoman Haley Stevens was present at the event. 12. Native Plant Sale Recap Nagle gave an update: Kids painted pots but there was not as good of turnout as last year. We are planning to do this event at the next Native Plant Sale. 13. AI Generated Art Statement Tabled item for next meeting. 14. Juneteenth Nagle gave an update: Target donated a bunch of shirts and Nagle tie died them, 48 shirts donated and went through all of them in quick fashion, super popular event. People were excited for trail tunes and the gala, ton of fun, The Tie Die Kit can be Borrowed for any city event. We are planning to do Tie Die at Trail tunes.
