Arts Board Meeting Madison Heights, Michigan August 29, 2023 A Arts Board Meeting was held on Tuesday, August 29, 2023 at 7:00 PM at City Hall - Executive Conference Room, 300 W. 13 Mile Rd. CALL TO ORDER 7:04 ROLL CALL Co-Chair Michael Covert Mayor Pro Tem Mark Bliss Laurie Geralds Jillian McBride Harley Mordarski Jennifer Nagle Vita Palazzolo Staff Liaison Adam Owczarzak Absent: Chair Steven Dombrowski Councilor Emily Rohrbach Jason Theodoroff Motion by Bliss, second by Nagle. to excuse Chair Dombrowski Aye: All Nay: None Motion Carries 1 ADDITIONS/DELETIONS Jennifer Nagle would like to Propose a New Event. This item will be added under New Business. APPROVAL OF MINUTES 1. Approval of Minutes - June 27, 2023 Motion by Bliss second by McBride to approve the minutes as presented. Aye: All Nay None: Motion Carries MEETING OPEN TO THE PUBLIC Resident Bill Mier was present and spoke to the Arts Board. He mentioned that he is apart of the Library Advisory Board and wants to help bridge different City groups together, and how the Arts Board can have Events at the library. REPORTS 2. Treasurer Report: The Trail Tunes Account has $4,430.13; This includes the $1,366 Donation from the Off the Trail Fundraiser. The Arts Board was also awarded $5,000 from the Community Advisory Board. The Trail of Treats Event has $242.82 to use for the event and The Arts Board Account has $3,516.89. 3. Social Media Report: The Off the Trail Event had a reach of 2200 users and 54 likes and comments. Our reach is up 483% Heavy Trail Tunes Visibility. Mentions up 50% UNFINISHED BUSINESS 4. Trail Tunes (Bliss, Dombrowski, Palazzolo, Covert, Mordarski) Jason Theodoroff has resigned from the subcommittee; Motion by Bliss Second by McBride to appoint Harley Mordarski to the Trail Tunes Sub Committee Aye: All Nay: None Motion Carries 2 Motion By Bliss, Second by Mardarski, to amend the Trail Tunes Beer Tent hours to amend the hours of the MLCC hours to 3-8 PM with last call at 7:45 and end at 8 PM. Aye: All Nay: None Motion by McBride by Second Nagle to take a portion of the Arts Board proceeds from the Beer Tent that will go to tip out the bands. Minimum of 5% from the beer tent that would come out of net Trail Tunes budget. A tip Jar will be exclusively distributed amongst all bands. On top of budgeted planned amount. Aye: All Nay: None Motion Carries. Member Jen Nagle talked about having a Tie Die Shirt station at the event and recommends that we supply some shirts with the regular branded shirts. Specifically, we should Purchase around 120 shirts of various sizes. Motion by Bliss Second by Nagle to allow up to $500 to purchase Tie Die Supplies. Whatever you spend must be paid back into the Arts Board Account. Any left over goes to the Trail Tunes Bands. Five-dollar donation to tie die a shirt. Aye: All Nay: Nay Motion Carries 3 5. Pumpkin Walk (Geralds, McBride, Theodoroff) This event has been renamed to Trail of Treats. Several groups coming back and four additional groups. Will have the a save the date out soon. A resident mentioned that he can help with a platform to do confidential registrations. The event is scheduled for October 21st 6-9. Sunday 22nd as rain date DJ Steve is available. 6. Statewide Independent Living Council proposal for inclusive art in Madison Heights (Rohrbach, Mcbride, Dombrowski, Geralds, Nagle) Recap from McBride, Great event a lot of people come out, partner organizations were very happy with Madison heights Arts Board, May do it again next year in Madison Heights. The Arts Board may potentially do it as a board event if the nonprofit is not wanting to do it in Madison Heights next year. Note, McBride is the chair for this event. Mayor Grafstein would like to do this every year. Wanted it to be as accessible and have Creative Naming for next year to promote it. 7. Grants: A. Play Everywhere KaBoom Grant! - Finish painting the sidewalk - Spring 2023 (Owczarzak) No New Updates B. Progress Forward - Community Advisory Board (CAB) $5,000 January 20,2022 - Award Notice: Trail Tunes $2,500/Gala $1500 went to the Mural will have to Reapply. (Pumpkin Walk denied as violation of their governing rules prohibit marketing to children. - New Proposals (Geralds, Bliss, Rohrbach) No New Updates C. Band Stand Grant, MEDC Crowd Funding Campaign (Dombrowski, Palazzolo, Theodoroff, Geralds, Bliss, ) Letter of Support for Grant Application is needed by the Arts Board. Motion by Bliss Second McBride by to support the letter that is to be drafted by the subcommittee on the Arts Board to submit. The letter will be finalized by Lauire and Jillian. Aye: All Nay: Nay 4 Motion Carries. 8. Gala (Geralds, Bliss, Dombrowski, Mordarski, Nagle) - November 17, 2023 Various members of the Arts Board offered suggestions on how to make the event successful. Motion by Bliss Second by Geralds to appoint Harly Mordarski to be on the subcommittee. Aye: All Nay None Motion Carries 9. Civic Center Complex Renovation - Art Installation Project (Bliss, McBride, Nagle, Covert) Staff Liaison Owczarzak mentioned that the Art will be hung up before the September 18th Grand Opening. NEW BUSINESS Proposal for new event. (Broadway Karaoke Dance Party) Nagle mentioned that a friend of hers ran it in Chicago and ran it Downriver. They Made a lot of money and had tons of fun. Some of the items they will need for this event is a DJ who will do Party Themed Karyoke. TheLocation needs to have a Big Room 5 The Committee for this event will be as follows: (Bliss, Chair-Nagle, Mordarski) The committee will bring a proposal to next meeting.
