MINUTES LIBRARY BOARD OF TRUSTEES Regular Meeting Wednesday, May 23, 2012 6:30 PM LIBRARY COMMUNITY ROOM, 625 PACIFIC STREET MONTEREY, CALIFORNIA Trustees Present: Roberson, Castagna, Leyva, Reneker, Yamanishi Trustees Absent: None Staff Members Community Services & Library Director Bui-Burton, Assistant Present: Library Director Holtzman, Youth Services Manager, Administrative Assistant Garibaldi CALL TO ORDER Chair Roberson called the meeting to order at 6:30 p.m. ROLL CALL CONSENT ITEMS Approval of Minutes 1. April 25, 2012 ***End of Consent Agenda*** On a motion by Library Trustee Castagna, seconded by Library Trustee Yamanishi, and carried by the following vote, the Library Board of Trustees approved the Consent Agenda: AYES: 5 TRUSTEES: Roberson, Castagna, Leyva, Reneker, Yamanishi NOES: 0 TRUSTEES: None ABSENT: 0 TRUSTEES: None ABSTAIN: 0 TRUSTEES: None RECUSED: 0 TRUSTEES: None PUBLIC COMMENTS Chair Roberson opened the floor for public comments: No public comments. PUBLIC APPEARANCE New Business 2. Approve July-December 2012 Bookmobile Schedule Library Board of Trustees Minutes Wednesday, May 23, 2012 On a motion by Library Trustee Reneker, seconded by Library Trustee Castagna, and carried by the following vote, the Library Board of Trustees approved the July-December 2012 Bookmobile Schedule: AYES: 5 TRUSTEES: Roberson, Castagna, Leyva, Reneker, Yamanishi NOES: 0 TRUSTEES: None ABSENT: 0 TRUSTEES: None ABSTAIN: 0 TRUSTEES: None RECUSED: 0 TRUSTEES: None 3. Authorize Staff to Initiate or Continue Activities in the Draft Monterey Public Library Strategic Plan 2012-2015 On a motion by Library Trustee Roberson, seconded by Library Trustee Castagna, and carried by the following vote, the Library Board of Trustees authorized Staff to Initiate or Continue Activities in the Draft Monterey Public Library Strategic Plan 2012-2015: AYES: 5 TRUSTEES: Roberson, Castagna, Leyva, Reneker, Yamanishi NOES: 0 TRUSTEES: None ABSENT: 0 TRUSTEES: None ABSTAIN: 0 TRUSTEES: None RECUSED: 0 TRUSTEES: None 4. Draft Revised Vision Statement for Monterey Public Library Strategic Plan 2012-2015 On a motion by Library Trustee Yamanishi to submit all proposed vision statements written by Library Trustees to library staff for discussion to then return with a proposal, seconded by Library Trustee Reneker with the addition that staff be asked to prepare a new vision statement, and carried by the following vote, the Library Board of Trustees moved to continue the process of revising the Vision Statement for the Monterey Public Library Strategic Plan 2012-2015: AYES: 5 TRUSTEES: Roberson, Castagna, Leyva, Reneker, Yamanishi NOES: 0 TRUSTEES: None ABSENT: 0 TRUSTEES: None ABSTAIN: 0 TRUSTEES: None RECUSED: 0 TRUSTEES: None Old Business 5. Review and Determine Process for Completing Monterey Public Library Strategic Plan 2012-2015 On a motion by Library Trustee Yamanishi, seconded by Library Trustee Roberson, and carried by the following vote, the Library Board of Trustees moved to take the Strategic Plan 2012-2015 out of draft form and make it a working document. Receive Update on FY 2012-2013 Budget Process TRUSTEE COMMENTS Trustee Reneker: Inquired about informational items in the Read Packet. Trustee Yamanishi: Encouraged the Library Board to support the Friends with their endowment fundraising. Possible candidate found for the Library Board. Read poem about the Library written by 101 year old patron. INFORMATIONAL REPORTS & STAFF COMMENTS Community Services & Library Director Bui-Burton: Reported a fabulous finale to the California Reads program. Monday, June 4, traveling to Sacramento by invitation from State Librarian, Stacey Aldridge, to join other library directors from across the state to craft a new vision for California public libraries. Saturday, June 9, is the Summer Reading Program kickoff; all Library Trustees are encouraged to help with sign-ups. New MPL Endowment brochures were distributed to Library Trustees. A member of the public or a Trustee may request that an item recommended for approval on consent be heard on the regular agenda for further discussion. Approval of Minutes 1. April 25, 2012 ***End of Consent Agenda*** PUBLIC COMMENTS PUBLIC COMMENTS allows you, the public, to speak for a maximum of three minutes on any subject which is not on the agenda. Any person or group desiring to bring an item to the attention of the Library Board may do so during Public Comments or by addressing a letter of explanation to: Community Services and Library Director, Monterey Public Library, 625 Pacific Street, Monterey, CA 93940. The appropriate staff person will contact the sender concerning the details. PUBLIC APPEARANCE PUBLIC APPEARANCE items are reports on action or informational issues that might stimulate public discussion, but that do not require formal noticing as public hearings. Receive Update on FY 2012-2013 Budget Process TRUSTEE COMMENTS Trustees may ask a question for clarification, make a brief announcement or make a brief report on his or her activities. In addition, a the Board may provide a referral to staff or other resources for factual information, request staff to report back to the body at a subsequent meeting concerning any Library matter, or direct staff to place a request to agendize a matter of business on a future agenda. (G.C. 54954.2) INFORMATIONAL REPORTS & STAFF COMMENTS INFORMATIONAL REPORTS & STAFF COMMENTS is used by the Library Director to make a brief report on her activities or a brief announcement. The Director may also ask for clarification or direction regarding scheduling of Board meetings and study sessions. ADJOURNMENT “The Board of Monterey Public Library Trustees provides stewardship for Monterey Public Library assets and services on behalf of all residents, ensures adaptability to a diverse population, changing environment and advancing technology. Trustees advise the City Council on matters pertaining to the Library, and advocate on the Library’s behalf, while ensuring an ongoing flow of information between the Library, the community and the City Council, in accordance with Section 7.1 of the Monterey City Charter and in support of the mission statement of the Monterey Public Library.” -adopted by Library Board of Trustees, April 25, 2007 The Library Board of Trustees meeting packet may be reviewed by the public in the Library. Information distributed to the Library Board at the Board meeting becomes part of the public record. A copy of written material, pictures, etc. should be provided for this purpose. The City of Monterey is committed to include the disabled in all of its services, programs and activities.
