City of Mountain View Minutes - Final Board of Library Trustees Monday, June 17, 2024 7:00 PM Library Program Room - 2nd floor 1. CALL TO ORDER Chairperson Nehrlich called the meeting to order at 7:02 p.m. 2. ROLL CALL Present 4 - Member Kuldip Ambastha, Member Sharon Su, Member Nicole Vogt, and Chair Eric Nehrlich Absent 1 - Vice Chair Kristin Higaki 3. MINUTES APPROVAL 3.1 Approval of Minutes from May 20, 2024 meeting MOTION - Su/Ambastha (M/S) To approve the Minutes from the May 20, 2024, Board of Library Trustees Meeting as presented. Motion carried. Votes taken by roll call. Yes: 4 - Member Ambastha, Member Su, Member Vogt, and Chair Nehrlich 4. ORAL COMMUNICATIONS FROM THE PUBLIC No public comments. 5. DONATIONS None. 6. PRESENTATIONS 6.1 Positions and Roles in the Public Library Presentation Assistant Library Director, Melvyn Yabut gave an overview on different levels of staff roles and responsibilities at the Library. Presented details on staff categories and their responsibilities which included Management, Supervisors, Professional, Para-Professional and Support Staff. The daily operations of the Library are successful due to the collaborative work from staff at all levels. 7. UNFINISHED BUSINESS None. 8. NEW BUSINESS 8.1 Fiscal Year 2024-25 Workplan MOTION - Nehrlich/Su (M/S) To accept Fiscal Year 2024-25 Workplan. Motion carried. Votes taken by roll call. Yes: 4 - Member Ambastha, Member Su, Member Vogt, and Chair Nehrlich 9. BOARD/STAFF ANNOUNCEMENTS, UPDATES, REQUESTS, AND COMMITTEE REPORTS 9.1 Library Director's Report Library Director, Tracy Gray presented on the City budget and California State Library budget. Shared usage data on different type of services which included: eBooks, study tables, public computers, State Park passes and the increase of circulation usage especially with children’s books. Other services have decreased with usage, such as reference materials, print magazines, newspapers and some electronic resources. Noting the Library's special services such as the Seed Library, Homebound Services, Bookmobile and Bike Repair Kits are still high in usage and popular with customers. Will continue to analyze needs and ways to improve space, add tables and seating for customers that use our services as a resource hub for their work or studies. 9.2 Agenda Setting - July 15, 2024 Board of Library Trustees' Meeting Canceled. - End of the Fiscal Year Report, review final statistic reports in full (August). 10. ADJOURNMENT Having no further business, Chairperson Nehrlich adjourned the meeting at 8:55 p.m. The next Board of Library Trustees' meeting will be on Monday, August 19, 2024 at 7:00 p.m. Minutes submitted for approval by Joy Phaphakdy. The Board may consider and act on items listed on the agenda in any order. Consideration of the matters noticed herein is not limited by the recommendations indicated herein. It is the policy of the Library Board that all evening meetings of the Board, including Study Sessions, be adjourned no later than 9:00 p.m., which time is referred to as the normal time of adjournment. No new item of business shall be taken up by the Board after 9:00 p.m. unless the Board has determined by majority vote to set aside this policy. In the event it appears that the entire agenda cannot be completed by the normal time of adjournment, the Board may take up and act upon the more pressing agenda items. All agenda items not considered at the meeting shall be on the agenda of the next regular, special, or adjourned regular meeting unless the Board directs otherwise. Anyone wishing to address the Board on an item not on the agenda may do so during the "Oral Communications" part of the agenda. For any agenda item or for Oral Communications on nonagenda items, if there appears to be a large number of speakers, the Chair may reduce speaking time to no less than 1.5 minutes per speaker unless there is an objection from the Board by majority vote. Pursuant to Government Code Section 54954.3(b)(1), at least twice the allotted speaking time will be provided to a member of the public who utilizes a translator.
