City of Mountain View Minutes Performing Arts Committee Committee Members Brewster, Mirza, Roy, Vice Chair Wise and Chair Donahue Wednesday, June 19, 2019 6:15 PM Atrium Conference Room 1. CALL TO ORDER Chair Donahue called the meeting to order at 6:18 p. m. 2. ROLL CALL Present 4- Committee Member Erin Brewster, Committee Member Alka Roy, Vice Chair Beth Wise, and Chair Carol Donahue Excused 1- Committee Member Hafsa Mirza 3. MINUTES APPROVAL 3.1 Approval of Minutes. The Performing Arts Committee approve the minutes of the May 15, 2019 meeting. Yes: 4- Committee Member Brewster, Committee Member Roy, Vice Chair Wise, and Chair Donahue Excused: 1- Committee Member Mirza 4. ORAL COMMUNICATIONS FROM THE PUBLIC 5. UNFINISHED BUSINESS 5.1 One-Act Play Festival Subcommittee Report. This item was considered out of agenda order. MOTION M/S Wise/Mirza - To: Authorize the Subcommittee for Play Selection to select 10-12 plays and post to the website in July for the One-Act Play Festival 2020 and to have Committee have final review at the August meeting. The motion carried by the following vote: Yes: 4- Committee Member Brewster, Committee Member Roy, Vice Chair Wise, and Chair Donahue Excused: 1- Committee Member Mirza 5.2 Grant and Fundraising Opportunities. No action was taken. 6.2 Art for Younger Children. No action was taken. 6.3 September Celebration of Service. No action was taken. 7. COMMITTEE/STAFF ANNOUNCEMENTS, UPDATES, REQUESTS AND COMMITTEE REPORTS 7.1 PAC Revenue and Expense Spreadsheet. Booking Coordinator Poret announced Community Services Director JP de la Montaigne retired and John Marchant is the new Interim Community Services Director. Booking Coordinator Poret announced MVCPA is actively recruiting for a new Patron Services Manager and hopes to be able to announce a name at the August meeting. Booking Coordinator Poret announced that TheatreWorks Silicon Valley received a proclamation from City Council earlier in the month celebrating their 50 years and winning of the Regional Theatre Tony award. It was also noted that Robert Kelley, Artistic Director of TheatreWorks Silicon Valley, thanked the two host cities of Palo Alto and Mountain View during the broadcast on national television. 8. ADJOURNMENT At 7:11 p.m., Chair Donahue adjourned the meeting to the next Performing Arts Committee meeting to be held on Wednesday, June 19, 2019, in the Atrium Conference Room, 500 Castro Street. CALL TO ORDER 2. ROLL CALL 3. MINUTES APPROVAL 3.1 Approval of Minutes. Recommendation: The Performing Arts Committee approve the minutes of the May 15, 2019 meeting. Attachments: 2019-05-15 PAC Minutes 4. ORAL COMMUNICATIONS FROM THE PUBLIC This portion of the meeting is reserved for persons wishing to address the Committee on any matter not on the agenda. Speakers are limited to three minutes. State law prohibits the Committee from acting on non-agenda items. 5. UNFINISHED BUSINESS 5.1 One-Act Play Festival Subcommittee Report. Recommendation: Background: The One-Act Play Festival Subcommittee was first formed in June 2013 and has had several successful years of productions. The Performing Arts Committee (PAC) will be working on plans for the 2020 Festival. Hear an update from the Subcommittee. Recommendation: Background: At the February 20, 2019 PAC meeting, Committee members requested exploring options for possible grant or fundraising opportunities the Committee could take part in. Hear an update from Committee members. 6. NEW BUSINESS 6.1 Collaborating for Arts and Humanities Month. Recommendation: Background: At the May 15, 2019 PAC meeting Chair Donahue suggested PAC explore ways to collaborate with other Boards, Commissions, or Committees in organizing or sponsoring events. Chair Donahue asked that each PAC member check out https://www.americansforthearts.org/events/national-arts-and-humanitie s-month in advance of the June meeting. Hear an update from Committee members and form a Subcommittee to discuss further if necessary. 6.2 Art for Younger Children. Recommendation: Background: At the May 15, 2019 PAC meeting Committee member Roy requested to discuss ways to explore art and its language as used for younger audiences. Committee member Roy suggested collaborating with the Youth Advisory Committee if applicable. Hear an update from Committee members and form a Subcommittee to discuss further if necessary. 6.3 September Celebration of Service. Recommendation: Background: Each September the City hosts a Celebration of Servce event to thank the Boards, Commissions, and Committees for their work that year. Each year the event includes a presentation by each Board, Commission, and Committee of their accomplishments. Recommendation: Provide Staff with a list of accomplishments to be presented at the September event. COMMITTEE/STAFF ANNOUNCEMENTS, UPDATES, REQUESTS AND COMMITTEE REPORTS No action will be taken on questions raised by the Committee at this time. 7.1 PAC Revenue and Expense Spreadsheet. ADJOURNMENT The next Performing Arts Committee meeting will be held on Wednesday, August 21, 2019, at 6:15 p.m. in the Atrium Conference Room, 500 Castro Street. Staff reports are also available during each meeting. The Committee may take action on any matter noticed herein in any manner deemed appropriate by the Committee. Their consideration of the matters noticed herein is not limited by the recommendations indicated herein. SPECIAL NOTICE: Any writings or documents provided to a majority of the Performing Arts Committee regarding any item on this agenda will be made available for public inspection in the Center for the Performing Arts office, located at 500 Castro Street, during normal business hours and at the meeting location noted on the agenda during the meeting. ADDRESSING THE COMMITTEE Interested persons are entitled to speak on any item on the agenda and should make their interest known to the Chair. Anyone wishing to address the Committee on a nonagenda item may do so during the “Oral Communications” part of the agenda. Speakers are allowed to speak one time on any number of topics for up to three minutes.
