ADJOURNMENT Tourism Committee Meeting Minutes 7:30 AM - Tuesday, August 15, 2023 Council Chambers The Tourism Committee of the City of New Richmond was called to order on Tuesday, August 15, 2023, at 7:30 AM, in the Council Chambers, with the following members present: PRESENT: Kim Dimick, Brian Meyer, Pete Vrieze, Dawn Jacobson, Timothy Sass ABSENT: OTHERS Michelle Scanlan, Lexi Derrick PRESENT: CALL TO ORDER ROLL CALL ADOPTION OF AGENDA Timothy Sass made a motion to adopt the Agenda. Brian Meyer seconded the motion. Carried unanimously. APPROVAL OF MINUTES MINUTES FROM: Dawn Jacobson made a motion to approve the Minutes from July 27, 2023. Timothy Sass seconded the motion. Carried unanimously. ROOM TAX REPORT 2Q23 ROOM TAX COLLECTIONS Lexi Derrick explained that the Tourism Committee had the following funds available to allocate for second quarter 2023: Room Tax Collected $45,908.20 70% of Collections $32,135.74 Carry Forward Funds $15,856.16 Total Funds Available $47,991.90 REVIEW OF FUNDING REQUESTS Tourism Committee Meeting August 15, 2023 NEW RICHMOND AREA CHAMBER OF COMMERCE FUNDING REQUEST - PARK ART FAIR Lexi Derrick presented the application for Tourism Funding from the New Richmond Chamber of Commerce for the 2023 Park Art Fair. Discussion took place on how the event compared to last year in regards to attendance, new vendors and what forms of advertising they used. Hana Peterson was present from the Chamber for questions. The expenses that were considered for reimbursement include: Entertainment, Trolley Services, Port-a-Potties, Garbage, Water, and Marketing. ACTION OF FUNDING REQUESTS Brian Meyer made a motion to recommend funding for 2Q23 Tourism to Council as: NRACC - Park Art Fair: $6,064.07 Timothy Sass seconded the motion. Carried unanimously. NEW BUSINESS STAFF REIMBURSEMENT FOR UPDATING TRAVEL WISCONSIN Lexi Derrick and Michelle Scanlan went over the number of postings that would need to be researched and updated to the Travel Wisconsin website for New Richmond to be up-to-date. Staff will track their time within the payroll system and then bring back the reimbursement request at a further date. The committee was sent a list of all the postings still needing to be updated and for any input if there was any missing. Timothy Sass made a motion made a motion to approve up to $1,500 in 2023 for staff reimbursement for researching and updating New Richmond postings to the Travel Wisconsin website. Dawn Jacobson seconded the motion. Carried unanimously. BRANDING AND QR CODE BID Lexi Derrick and Michelle Scanlan recently met with Serena Wildt, with Minuteman Press, where they reviewed that the Tourism Committee would like to create a brand for visiting the City of New Richmond. Since that meeting, Serena was able to provide the committee with a quote of $500 for design services. Dawn Jacobson made a motion made a motion to approve the bid for design services of $500. Brian Meyer seconded the motion. Carried unanimously. MARKETING RESOURCES Michelle Scanlan advised that she has reached out to multiple marketing specialists to see if they or someone they know would be a resource to bring in and present to the public on unique, tactical ways to market an event. Dawn Jacobson mentioned it would be beneficial if the representative could provide feedback in regards to how groups can track their advertisement to see who it is all reaching. Staff will bring back a recommendation for a Specialist to the next work session meeting with the intent of having the information meeting for the public later this fall. No action needed. COMMUNICATION AND MISCELLANEOUS Tourism Committee Meeting August 15, 2023 The Tourism Committee agreed to have a work session on September 26th to review designs from Minuteman Press and the recommended Marketing Representative. ADJOURNMENT Timothy Sass made a motion to adjourn at 8:24am. Dawn Jacobson seconded the motion. Carried unanimously. Tourism Committee Meeting August 15, 2023 MEMO Prepared for: Tourism Committee Staff Contact: Lexi Derrick, Michelle Scanlan Meeting: Tourism Committee - 26 Sep 2023 Subject: Marketing Workshop BACKGROUND INFORMATION: During the last Tourism Committee meeting, staff brought a brief update on finding a speaker to come do an educational marketing workshop. City Staff will bring an update to the September meeting. In addition to this, staff are looking for the committee to pick a date and time that works best for everyone to schedule the marketing workshop. MEMO Prepared for: Tourism Committee Staff Contact: Lexi Derrick, Michelle Scanlan Meeting: Tourism Committee - 26 Sep 2023 Subject: Visit New Richmond Logo BACKGROUND INFORMATION: On August 15, 2023 the Tourism Committee approved Minuteman Press to move forward with creating a logo for VISIT NEW RICHMOND. Attached to the memo are designs that City Staff have received. Please note, this is the first draft of these design, based on feedback from the Tourism Committee future alterations might be made.
