ADJOURNMENT Tourism Committee Meeting Minutes 7:30 AM - Tuesday, August 15, 2023 Council Chambers The Tourism Committee of the City of New Richmond was called to order on Tuesday, August 15, 2023, at 7:30 AM, in the Council Chambers, with the following members present: PRESENT: Kim Dimick, Brian Meyer, Pete Vrieze, Dawn Jacobson, Timothy Sass ABSENT: OTHERS Michelle Scanlan, Lexi Derrick PRESENT: CALL TO ORDER ROLL CALL ADOPTION OF AGENDA Timothy Sass made a motion to adopt the Agenda. Brian Meyer seconded the motion. Carried unanimously. APPROVAL OF MINUTES MINUTES FROM: Dawn Jacobson made a motion to approve the Minutes from July 27, 2023. Timothy Sass seconded the motion. Carried unanimously. ROOM TAX REPORT 2Q23 ROOM TAX COLLECTIONS Lexi Derrick explained that the Tourism Committee had the following funds available to allocate for second quarter 2023: Room Tax Collected $45,908.20 70% of Collections $32,135.74 Carry Forward Funds $15,856.16 Total Funds Available $47,991.90 REVIEW OF FUNDING REQUESTS Tourism Committee Meeting August 15, 2023 NEW RICHMOND AREA CHAMBER OF COMMERCE FUNDING REQUEST - PARK ART FAIR Lexi Derrick presented the application for Tourism Funding from the New Richmond Chamber of Commerce for the 2023 Park Art Fair. Discussion took place on how the event compared to last year in regards to attendance, new vendors and what forms of advertising they used. Hana Peterson was present from the Chamber for questions. The expenses that were considered for reimbursement include: Entertainment, Trolley Services, Port-a-Potties, Garbage, Water, and Marketing. ACTION OF FUNDING REQUESTS Brian Meyer made a motion to recommend funding for 2Q23 Tourism to Council as: NRACC - Park Art Fair: $6,064.07 Timothy Sass seconded the motion. Carried unanimously. NEW BUSINESS STAFF REIMBURSEMENT FOR UPDATING TRAVEL WISCONSIN Lexi Derrick and Michelle Scanlan went over the number of postings that would need to be researched and updated to the Travel Wisconsin website for New Richmond to be up-to-date. Staff will track their time within the payroll system and then bring back the reimbursement request at a further date. The committee was sent a list of all the postings still needing to be updated and for any input if there was any missing. Timothy Sass made a motion made a motion to approve up to $1,500 in 2023 for staff reimbursement for researching and updating New Richmond postings to the Travel Wisconsin website. Dawn Jacobson seconded the motion. Carried unanimously. BRANDING AND QR CODE BID Lexi Derrick and Michelle Scanlan recently met with Serena Wildt, with Minuteman Press, where they reviewed that the Tourism Committee would like to create a brand for visiting the City of New Richmond. Since that meeting, Serena was able to provide the committee with a quote of $500 for design services. Dawn Jacobson made a motion made a motion to approve the bid for design services of $500. Brian Meyer seconded the motion. Carried unanimously. MARKETING RESOURCES Michelle Scanlan advised that she has reached out to multiple marketing specialists to see if they or someone they know would be a resource to bring in and present to the public on unique, tactical ways to market an event. Dawn Jacobson mentioned it would be beneficial if the representative could provide feedback in regards to how groups can track their advertisement to see who it is all reaching. Staff will bring back a recommendation for a Specialist to the next work session meeting with the intent of having the information meeting for the public later this fall. No action needed. COMMUNICATION AND MISCELLANEOUS Tourism Committee Meeting August 15, 2023 The Tourism Committee agreed to have a work session on September 26th to review designs from Minuteman Press and the recommended Marketing Representative. The table below illustrates tax collection for third quarter over the last five years. Fun Fest is an annual community celebration that brings people to New Richmond over four days. The festival includes a carnival, food booths, beer tent, parade, and more. A full application is attached. FINANCIAL IMPACT: The Funding Request is for $35,363.25. Most of the expenses fall within qualified expenses besides the fence. Funding requests were submitted for City Street, Alcohol, Sound and Bartending Permits which have previously not been a request presented to the committee, this will be outlined during the meeting. RECOMMENDATION: After reviewing this application, the Tourism Committee can move: Approve: Approve all or a portion of the requested funds for qualified expenses. Deny: Deny all or a portion of the requested funds for qualified expenses. Table: Table the application until a future meeting with a request for future consideration. Lodging tax receipts are used to stimulate, promote, advertise, develop and publicize tourism and development of the City and hotel and business community. The Tourism Committee is responsible to develop, review and provide funding recommendations to the City Council which are related to tourism promotion and development. n: ucu r um Tourism Funding is a reimbursement grant. This is our largest annual fundraiser, funds raised go towards our mission of helping families who lose a child from miscarriage through age 20 in Wisconsin and Minnesota. How did the project promote tourism in New Richmond? We had 2,004 people register to walk and run at the event. We would estimate a couple hundred others just came to support friends and family walking, shop from the vendors, purchase from food trucks, attend the raffle, attend the kids carnival, etc. Most of the people attending live outside of New Richmond and came to town specifically for our event. What market did the project target and why? Provide number of attendees with supporting detail. We had a good mix of attendees, most were childloss families themselves with their other children and relatives that wanted to support them. Some were community members just seeing what was going on. How was the event advertised or promoted? We advertised on our social media, local social media pages in the community and surrounding communities as well as we posted flyers all over within about 60 miles of New Richmond as volunteers could take them places to hang up them up. We had a participation fee for walkers and runners, but not an event fee. We receieved sponsorships from local buisnesses as well. We raised $166,925.25 after expenses. We did shut down a few roads with city barricades, so some of the city workers dropped them the day before the event at the correct intersections. Feedback went back to the designer and another set was circulated for feedback, including a voting page distributed at the Tourism Marketing Seminar. Below are the two designs that have received the highest favorable votes: City Staff will move forward to get these available in formats to share for Marketing Materials. The system could be used during parades, to add atmosphere for Holiday shopping, and even share emergency notifications. Options will be shared at the meeting to gauge interest. No action will be needed at this time.
