ADJOURNMENT Tourism Committee Meeting Minutes 7:30 AM - Thursday, January 30, 2025 Council Chambers The Tourism Committee of the City of New Richmond was called to order on Thursday, January 30, 2025, at 7:30 AM, in the Council Chambers, with the following members present: PRESENT: Kim Dimick, Brian Meyer, Pete Vrieze, Dawn Jacobson, Timothy Sass ABSENT: OTHERS Brent Hanifl, Amy Gabay, Michelle Scanlan, Rae Ann Ailts, Jim Zajkowski, PRESENT: Avarie Swenson, Rob Kreibich and Lexi Derrick CALL TO ORDER ROLL CALL ADOPTION OF AGENDA Pete Vrieze made a motion to adopt the Agenda with the change to move item 5b to the first discussion item. Brian Meyer seconded the motion. Carried unanimously. APPROVAL OF MINUTES MINUTES FROM DATE Pete Vrieze made a motion to approve minutes from December 17, 2024. Dawn Jacobson seconded the motion. Carried unanimously. CONTINUING BUSINESS 2025 TOURISM REIMBURSEMENT CRITERIA AND APPLICATION DRAFT 2 Lexi Derrick provided the Committee an overview of changes made from Draft 1 of the 2025 Tourism Funding Application to Draft 2. Additional discussion took place over what the City's software and IT restrictions are and how that impacts advancements to the application. Pete Vrieze made a motion to approve draft 2 as the 2025 Tourism Reimbursement Application. Brian Meyer seconded the motion. Carried unanimously. VISIT NEW RICHMOND WEBSITE Tourism Committee Meeting January 30, 2025 River Travel Media presented the Visit New Richmond website. The website is currently in a "soft launch" state to allow Committee Members, the New Richmond Chamber and City Staff time to review and provide additional feedback. Feedback will be due back to Lexi by February 7th. The Committee confirmed having a Visit New Richmond Launch Party on February 27th in the Council Chambers beginning at 5:00pm. Additional information will be posted and sent out. Pete Vrieze made a motion made a motion to earmark $300 for drinks and appetizers and $500 for marketing materials for the Visit New Richmond Launch Party. Dawn Jacobson seconded the motion. Carried unanimously. COMMUNICATION AND MISCELLANEOUS The Tourism Committee will review 4Q applications at their next meeting on February 13th. Tourism Committee Meeting January 30, 2025 MEMO Prepared for: Tourism Committee Staff Contact: Lexi Derrick Meeting: Tourism Committee - 13 Feb 2025 Subject: 4Q24 Room Tax Collections BACKGROUND INFORMATION: Room tax collections from October 1, 2024 through December 31, 2024 totaled $30,318.03 which is a $8,698 or 22.3% decrease from prior year. Coratel has not paid their room tax to the city for forth quarter. City staff have reached out to Coratel requesting this gets paid to the city as soon as possible. Coratel's room tax for fourth quarter has averaged $3,745 over the past three years. The table below illustrates tax collection for forth quarter over the last five years. At the beginning of 2024, the Tourism Committee strongly encouraged applicants to place more emphasis on marketing efforts. Included below is a pie chart showing reimbursed marketing efforts compared to operational expenditures from 2021 through 2023 and a separate chart showing 2024 efforts year to date. Of the $30,214.62 marketing expenditures reimbursed in 2024 so far, 76% is from the Tourism Committee/City of New Richmond and 24% is from the New Richmond Area Chamber efforts. Staff tracked their time through the City's payroll portal and total expenses were $1,715.85. In addition to the 2024 reimbursement, the City is requesting an additional $2,500 in tourism funding be set aside for staff expenses associated with updating and maintaining the Visit New Richmond website in 2025. FINANCIAL IMPACT: $1,715.85 requested for 2024 staff reimbursement $2,500 in funding be set aside for 2025 expenses RECOMMENDATION: After reviewing this application, the Tourism Committee can move: Approve: Approve all or a portion of the requested funds for qualified expenses. Some were one time charges, while others will be an annual expense bought to the Tourism Committee. The costs included the one time purchase of domain name(s), annual email hosting, website and newsletter distribution platforms. While costs moving forward will be minimal, staff wanted to bring them forward as their own item for transparency. FINANCIAL IMPACT: $233.89 requested for creation of website and newsletter. RECOMMENDATION: After reviewing this application, the Tourism Committee can move: Approve: Approve all or a portion of the requested funds for qualified expenses. Deny: Deny all or a portion of the requested funds for qualified expenses. Table: Table the application until a future meeting with a request for future consideration.
