MINUTES Community Events Committee Meeting 5:30 PM - Thursday, August 8, 2024 Village Hall, 620 W. Main St., Newburg, Wisconsin CALL TO ORDER / ROLL CALL -Michelle Sadowski, Chariperson - Clerk Brandy Loveland Seelow - Trustee Paul Zimdars, Co-Chair - Deputy Clerk Heather Wellman - Trustee Brooke Stangel All members were present and the meeting was called to order at 5:30pm. PLEDGE OF ALLEGIANCE "I pledge allegiance to the Flag of the United States of America, and to the Republic for which it stands, one Nation under God, indivisible, with liberty and justice for all.", should be rendered by standing at attention facing the flag with the right hand over the heart. A person in uniform should instead remain silent and render the military salute. Veterans may choose either method. (4 USC Sec. 4). CORRECTION AND APPROVAL OF PAST MINUTES 1. Meeting Minutes Minutes were verbally approved by the committee with no corrections. CHAIRPERSON Michelle Sadowski. Chairperson will lead updates on events and project. 2. Update Chairperson, Michelle Sadowski, stated she had nothing new and would report out on topics listed further on the agenda. ADMINISTRATION Clerk Loveland. Including updates on items such as Board direction and recommendations, upcoming events, events in planning stages, or financial information for events. 3. Update  Appointments of Chair and Co-Chair were approved at the last BOT Meeting  BOT is in support of the Committees actions thus far and are excited to see new events happening within the Village OLD BUSINESS 4. Fall Festival - October 26, 2024  Report out on assigned tasks o Michelle Sadowski - Pumpkins & gourds o Mel Rodenkirch - Food Trucks, Face Painting & Hayrides o Brooke Stangel - Hayrides o Brandy Loveland - Bounce House Community Events Committee August 8, 2024  DPW Tasks - Parking, PA System setup & trash cans  Signage  Bonfire - DPW - setting up and attending during event. Sandy Stockhausen - Asking NFD to attend and be on standby incase of an emergency.  Costume Contest - Pictures of individuals or designated judging time 1. Michelle reached out to Creekside Valley farms for small pumpkins /gourds and they are typically sold out by the time we are in need. She will continue to look into other places to get the pumpkins / gourds needed for the event. 2. Question was asked at how many pumpkins / gourds will be needed for the event? It was determined that 100 would be enough. 3. Michelle will ask St. Johns to put something in their bulletin for anyone who may be willing to donate pumpkins / gourds for the event. 4. Mel emailed an update stating that The Hive will have 2 types of Food Truck one with taco options the other with brats, burger, and hot dogs. They will also have hot drinks available for sale. 5. The Hive will also donate paint and brushes for the pumpkin / gourd painting. 6. Mel is waiting on confirmation for kids face painters 7. Brooke is working on hayrides, Michelle has a neighbor that is willing to help as well. Brooke and Michelle will work together on having this ironed out by the next meeting. 8. Brandy stated that Sandy Stockhausen is willing to loan us her bounce house for the day of the event. 9. Michelle will look into getting several bales of hay for the wagon rides and photo op. 10. Mark the entrance of the Park so that people know where to go. 11. Sandy Stockhausen state she would liaison between the Village and NFD for a flood lightening, a truck and personnel to be present the day of the event at specifically at the bon fire at NFS monthly meeting. 12. It was determined that their would be a designated time for costume contest, 3:30PM at the photo op area. 5. Christmas in the Village - December 7th, 2024  Theme for this years activities and parade.  Prize Money  Volunteers throughout the day  Donation of 10 - 12' Tree o Community Tree Decorating o Tree Lighting  Village of Newburg Ornaments as Thank you for volunteers and for general public to purchase 1. This years Christmas in the Village theme, including the parade, was decided upon to be "Christmas Movie Night in Newburg" 2. Nate to contact donations 3. Village Hall will reach out to the list of possible volunteers 4. Will look for a donation of a 10-12' real tree 5. Loveland's Woodworking will design and offer ornaments for sale with $5 of Community Events Committee August 8, 2024 each one sold being donated to the Friends of the Parks 6. Friend's of the Parks  Beautification  Volunteer / Landscaper to help layout future gardens / flower beds within the parks  Donations  Activities 1. The idea of a community garden was presented 2. Looking for volunteers or clubs that would be interested in landscaping, maintaining a flowerbed(s) or upkeeping the volleyball courts, soccer fields or baseball diamonds. NEW BUSINESS ANNOUNCEMENTS Next meeting will be September 12th, 2024 at 5:30PM ADJOURNMENT Meeting adjourned at 6:45pm
