MINUTES OF THE REGULAR MEETING OF THE MAYOR’S YOUTH ADVISORY COMMITTEE HELD ON THURSDAY, AUGUST 11, 2022, IN THE PINETOP-LAKESIDE TOWN HALL LOCATED AT 325 W. WHITE MOUNTAIN BLVD., LAKESIDE, AZ 85929 A. Call to Order: Treasurer Grace Smithson called the meeting to order at 7:08 a.m. Pledge of Allegiance: Treasurer Grace Smithson led the Pledge of Allegiance. Roll Call: The following members were present: Grace Smithson Treasurer Morgan Eddy Member Rain Dimaliwat Member Jesse Stroup Member Joe Grzelak Member Sienna Grzelak Member Brooke Horne Member Also present: Malaina Spillman Assistant to the Public Works Director B. Minutes: B.1 Member Eddy moved to approve the following minutes: Mayor’s Youth Advisory Committee Regular Meeting May 12, 2022. The motion was seconded by Member Smithson and was carried with a 7-0 voice vote. C. Old Business: C.1 Discussion Regarding Arizona League of Cities & Towns Annual Conference, August 31st. MYAC will participate in the League of Arizona Cities & Towns Annual Youth Conference. Members will let Malaina Spillman no by Friday, August 12 if they are able to go. D. New Business D.1 Review and Discussion of MYAC Bylaws. MYAC members reviewed the Bylaws and focused on the elections and positions for officers. D.2 Discussion, Election and Legal Action for New MYAC Officers for FY 2022- 2023. Members reviewed the positions and nominations began with Chairman. Member P. Rigg was nominated by Member Eddy for Chairman. No other nominations were made. Silent ballots were cast and Member P. Rigg was voted unanimously as Chairman. Member Smithson made a motion to elect Member P. Rigg as Chairman. The motion was seconded by Member Smithson, the motion carried with a voice vote of 7-0. Member Smithson nominated Member Eddy for Vice Chairman. No other nominations were made. Silent ballots were cast, and Member Eddy was voted unanimously as Vice Chairman. Member Smithson made a motion to elect Member Eddy as Vice Chairman. The motion was seconded by Member J. Grzelak, the motion carried with a voice vote of 7-0. Member Horne nominated Member Horne for Secretary. No other nominations were made. Silent ballots were cast, and Member Horne was voted as Secretary unanimously. Member J. Grzelak made a motion to elect Member Horne as Secretary. The motion was seconded by Member S. Grzelak, the motion carried with a voice vote of 7-0. Member Eddy nominated Member Smithson for Treasurer. No other nominations were made. Silent ballots were cast, and Member Smithson was voted as Treasurer unanimously. Member Eddy made a motion to elect Member Smithson as Treasurer. The motion was seconded by Member Horne, the motion carried with a voice vote of 7-0. Member S. Grzelak nominated herself as Historian. Member Dimaliwat was also nominated for Historian. Silent ballots were cast Member S. Grzelak received 4 votes and Member Dimaliwat received 3 votes. Member Eddy made a motion to elect Member S. Grzelak as Historian. The motion was seconded by Member J. Grzelak, the motion carried with a voice vote of 7-0. D.3 Review and Discussion of Project for League Conference. Malaina Spillman explained what has been done in the past. Members discussed getting together to put a poster board for the conference. Member S. Grzelak said she would make a new group chat and determine a time that all the Members could meet at the Public Works Department with Malaina Spillman. D.4 Review, Discussion and Legal Action Regarding FY 2022-2023 MYAC meeting schedule. The meeting schedule was review and there being no conflicts Member J. Grzelak made a motion to approve the schedule as presented. The motion was seconded by Member Smithson, the motion carried with a voice vote 7-0. D.5 Review, Discussion and Legal Action Regarding Upcoming Events. Malaina Spillman reviewed the upcoming events asked members to put them on their calendar to participate. Malaina also asked Members if they would like to sell concessions at the August 20th Movies in the Park. Members discussed doing the concessions as a fundraiser. Member Eddy made a motion for MYAC to sell concessions, the motion was seconded by Member J. Grzelak, the motion carried with a voice vote of 7-0. E. Public Comments: None offered. F.
