Minutes of The Radford City Electoral Board: Wednesday, September 18, 2019 Meeting Called to order by Chairman Wohlford at 10:05 a.m. Roll Call: Mr. Mannon, Present Mrs. Turk, Present Mr. Wohlford, Present Also in attendance : Tracy Howard, Director of Elections Janet Parrish, Deputy Registrar Minutes of August 27 th presented: Mrs. Turk, moved to approve Minutes of the August 27th minutes Mr. Mannon 2nd Mr. Wohlford yes Old Business: Director Howard provided an update on the progress of contacting Officers of Election for the November 2019 General Election. Officer listing provided and new potential officers added to the list. New Business: Set up meeting with Chief Officers and the two new polling places. Director Howard instructed to coordinate a meeting in early October with trustees of Grove UMC and 1st Baptist, with the Electoral Board and the Chief Officers of the New River and Central Precinct to plan for polling place setup. Directors report: Director Howard reported that Absentee voting began the morning of Wednesday September 18, 2019. Ballots for the November Election are on hand, with 2000 ballots per regular precinct and 250 pre-folded ballots for Absentee by mail. The first Absentee mailing will be on the afternoon of September 19th. City IT has been contacted and permission has been obtained for city e-mail addresses for the Electoral Board due to FOIA concerns and personal e-mails. The Director will coordinate with City IT and provide information for access to the Board. Utility Billing has been contacted for providing Elections information on the announcements section of the monthly utility statement. The process was explained and the Director given guidance on the message content.
