REGULAR MEETING MINUTES May 3, 2022 THE REGULAR MEETING OF THE RICHMOND RECREATION BOARD WAS CALLED TO ORDER AT 7:00 P.M., ON TUESDAY, MAY 3, 2022, BY MELISSA MAJCHRZAK. ROLL CALL Present: Aiken, Caperton, Kiel, Majchrzak, Warn Absent: N/A Others: Recreation Director VanHove, City Manager Moore, Mayor Rix Recording Secretary Field Visitors: None AUDIENCE PARTICIPATION None APPROVAL OF MINUTES Motion by Warn, seconded by Kiel, to approve the March 1, 2022, minutes as presented. All yeas Motion passes ADOPTION OF AGENDA Motion by Aiken, seconded by Kiel, to adopt the Agenda as presented. All yeas Motion passes RECREATION DIRECTOR UPDATES A. Activity Report – April 2022 The Summer 2022 Recreation Guide has been sent to print. It will be in the North Macomb Voice the week of May 11th. It will also be distributed to the local schools and was put on the Recreation Departments Facebook Page. The guide is available to pick up at the Community Center, City Hall and Library. The summer entertainment series has been scheduled for June, July and August. Page 1 of 4  B. Upcoming Events Monday, May 16th Registration for City Residents begins at 8:30 a.m. Tuesday, May 17th Registration for Non-City Residents begins at 8:30 a.m. Saturday, May 21st Perennial Exchange at Beebe St. Park Gazebo at 9:00 a.m. ITEMS FOR CONSIDERATION A. Memorial Bench Donation Request The Recreation Director was approached by a citizen requesting a memorial bench placement. Anne Korfas, of North Carolina, has requested, along with her siblings, a memorial bench that would be in honor of their late father. The bench would be a donation to both of their parents, mother is still living. The parents were residents of Richmond for 25+ years and they enjoyed walking the path in Beebe Street Park and watching the activity on the tennis courts. Motion by Warn, seconded by Kiel, to recommend that the City Council approve the purchase of a Memorial Bench through donations from Perennial Park Products and a plaque engraving in the amount of $700.00. All yeas Motion passes B. Special Event Application – Kelly Moilanen, “Saving Destiny Animal Rescue” The Recreation Board is scheduled to consider a special event request from Kelly Moilanen to hold a fundraiser for “Saving Destiny Animal Rescue” in the park on Saturday, September 17th, from 6 pm to 10:30 pm. The event will start at 6:00 pm with pet vendors, pet photography, games, nail trims and food trucks. Motion by Aiken, seconded by Caperton, to recommend that the City Council approve a Special Event Request from Kelly Moilanen to hold a fundraiser for “Saving Destiny Animal Rescue” consisting of pet vendors, pet activities and a movie on Saturday, September 17th, from 6 p.m. to 10:30 p.m. (rain date Saturday, September 24th). Also to recommend to Administration to get additional information taking this to City Council, find out how they are making their money for the fundraiser part and get a schedule of events and list of vendors. All yeas Motion passes C. Special Event Application – Free Star Financial Credit Union The Recreation Department has received a Special Event Application from Laurie Cafagna of Free Star Financial Credit Union for the use of Beebe Street Park Pavilion on Saturday, May 21, 2022, from 11:00 am to 2:00 pm. They also submitted the pavilion use permit from 9:00 am to 4:00 pm to allow themselves time to set up and take down. They are hosting this Community Event to introduce themselves to the community as well as inviting members that have transferred from Belle River Credit Union. Other organizations such as the Chamber of Commerce have held similar events in the pavilion. Page 2 of 4 Motion by Aiken, seconded by Warn, to recommend City Council approve a Special Event Application from Free Star Financial Credit Union for the use of Beebe Street Park Pavilion for a community welcoming event on Saturday, May 21, 2022 from 9:00 a.m. to 4:00 p.m., with the event scheduled to take place between 11:00 a.m. and 2:00 p.m. All yeas Motion passes ITEMS FOR DISCUSSION A. The Aud Survey Administration has compiled the survey results from the Aud Survey that has been out in the field for the last couple of months. The survey was also sent to potential user groups or interested parties such as RAHGS and the recreational sports programs through RLL, AYSO and RGFA. It was also emailed to many of the City Boards. Administration would like to go through the survey results with the Recreation Board to determine if there are answers to the programming questions that you want the Recreation Department to further develop as some of the early programming offered this first year. Also, administration wants to discuss the timing of trying to pull together volunteers. If you do it too early they may be discouraged that there is not a lot to do, until we get programing running. Administration updated that the roof project has started and the masonry work has started discussions. The parking lot has been completed. Motion by Warn, seconded by Kiel, to schedule a Recreation Board Meeting on Tuesday, June 7th at 7:00 p.m.to meet at The Aud to do a walk-through of the building while empty. All yeas Motion passes BOARD MEMBER AND ADMINISTRATION COMMENTS Aiken – this is my last meeting for being on the Recreation Board. I have really enjoyed being a part of this board and enjoyed helping out. Board – we really appreciate all you have done for the Recreation Board. Warn – how is Camp Richmond coming along? Administration responded that four applications have been received. The Recreation Board will need to have future discussions on the cost of camp and the wage scale. Administration – Thursday, May 5th, from 12:20 p.m. to 12:40 p.m. is National Day of Prayer being held at City Hall. Good Old Days is sponsoring pizza for after the event.
