City of Roswell Cemetery Board Tuesday, June 17, 2014 South Park Cemetery Conference Room Committee Members Present: Jake Trujillo, Vice President Rita Kane- Doerhoefer, Secretary Jack Ferguson, Member Tommy Weathers, Member Committee Members Absent: Bob Wooley, Member Other Elected Official Present: None Staff Present: Mike Kirk, Cemetery Sexton Dena Flores, Cemetery Bookkeeper Others Present: James Edwards, Public Participant The meeting was called to order at 4:03 pm by Vice President, Jake Trujillo. Committee Members, Trujillo, Kane- Doerhoefer, Ferguson, and Weathers were present, representing a quorum. Committee Member Wooley was absent. Mr. Ferguson moved to approve agenda as presented. Mr. Weathers was the second. A voice vote was unanimous and the motion carried. Ms. Kane- Doerhoefer moved to approve the May 20, 2014 minutes. Mr. Ferguson was the second. A voice vote was unanimous and the motion carried. Public Participation on Agenda Items: No public participation. Sextons Report: Sexton Kirk reported there were thirty internments for the month of May. As of June 17, 2014, the Cemetery has had seventeen internments, and one VA internment. Mr. Kirk also updated the board that there were at least fifth teen hundred plots that had settled from the excess rain we received in May. Mr. Kirk stated that progress is being made, but it takes time to ensure each area gets the attention it deserves. Also discussed was the preparation of the new plot area. Mr. Kirk informed the board that the Cemetery should be able to sell from this area starting in August, 2014. Mr. Weathers brought up the question about reclaiming plots, and Mr. Kirk explained that the City does not get involved in reclaiming plots that have not been used, or never will be used due to legal matters. Regular Items: A) Establish Term Limits Rita stated she will need to re-write the Bylaws because Building and Lands approval of term limits, and number of Board Members. It was agreed upon by all members that this will be discussed at the next Cemetery Board meeting, which will be held, July 15, 2014. B) Newly Elected Officers An agreement was reached that the election of officers would also be discussed at the next Cemetery Board meeting, July 15, 2014, when all members could be present. C) Who will attend next B & L Meeting June 23, 2014 Rita stated that no one needed to be present for this meeting as items for the Cemetery were past. Old Business: Rita stated that no members need to attend the B & L Meeting held June 23, 2014. New Business: None Publix Participation on Non- Agenda Items: Public Participant, James Edwards, asked about the progress of filling in the graves from the excess rain received in May, 2014. Sexton Kirk explained to Mr. Edwards that the Cemetery had about fifth teen hundred graves that had settled, including tombstones, and foot stones. As of June 17, 2014 nearly all graves had been filled that we are aware of, but there is still settling. Also, our Grounds Maintainers are fixing headstones and footstones that need lifted, straightened, and leveled. Next Meeting Date: The next meeting will be held July 15, 2014 at 4:00pm. The meeting adjourned at 4:47pm.
