MINUTES OF THE OCCUPANCY TAX BOARD MEETING Tuesday, September 25, 2018 Regular Meeting 2:30 P.M. CALL TO ORDER AND WELCOME – The regular meeting of the Occupancy Tax Board convened at 2:30 p.m. ROLL CALL Members Present: Jim Fielding, Kerry Moore, Roxanne Slayton, Jill Cleveland, Elaine Dotts Members absent: None A quorum was present. Staff Present: Allison Gray, Tourism & Event Manager, Juanita Jennings, Director of Public Affairs Others Present: Candy McClelland, a representative from Andrus & Hillman Memorial Rodeo, Sarai Fowler, representative from Roswell Symphony Orchestra, Molly Boyles, Kathy Lay, and Kim Wood, representatives from Main Street Roswell, Amy Davis, representative from the Historical Society of SENM APPROVAL OF AGENDA – Ms. Moore motioned to approve the agenda. Ms. Slayton seconded the motion. A voice vote was unanimous (5-0) and the motion passed. APPROVAL OF MINUTES – Ms. Moore motioned to approve the August 14, 2018 OTB Meeting minutes. Ms. Slayton seconded the motion. A voice vote was unanimous (5-0) and the motion passed. PUBLIC COMMENTS - None. REGULAR ITEMS (Action Items): 1. Lodgers’ Tax Request – Jesse Andrus & Mike Hillman Memorial Rodeo Mr. Fielding introduced this funding request. Ms. McClelland, a representative from the Jesse Andrus & Mike Hillman Memorial Rodeo presented the request for Lodgers Tax funding. Ms. Moore motioned to recommend to the Finance Committee $3,800 at a 50% reimbursement rate. Ms. Slayton seconded the motion. A voice vote was unanimous (5-0) and the motion passed. 2. Lodgers’ Tax Request – 2019 UFO Festival  Ms. Fielding introduced this funding request. Kathy Lay, Molly Boyles and Kim Wood, representatives from Main Street Roswell presented the request for Lodgers Tax funding. Ms. Dotts motioned to recommend to the Finance Committee $10,550 at a 50% reimbursement rate. Ms. Slayton seconded the motion. A voice vote was unanimous (5-0) and the motion passed. 3. Lodgers’ Tax Request – Historical Society for SENM Public Awareness Project Mr. Fielding introduced this funding request. Amy Davis, a representative from Historical Society for SENM Public Awareness Project presented the request for Lodgers Tax funding. Ms. Moore motioned to recommend to the Finance Committee $617.90 at a 50% reimbursement rate. Ms. Slayton seconded the motion. A voice vote was unanimous (5-0) and the motion passed. 4. Lodgers’ Tax Request – Roswell Symphony Orchestra Mr. Fielding introduced this funding request. Sarai Fowler, a representative from Rowell Symphony Orchestra presented the request for Lodgers Tax funding. Ms. Moore motioned to recommend to the Finance Committee $4,085 at a 50% reimbursement rate. Ms. Cleveland seconded the motion. A voice vote was unanimous (5-0) and the motion passed.
