Parks and Recreation Commission Meeting September 29, 2014 6:00p.m. I. Call to Order Chair, Bob Edwards, called the September 29, 2014 meeting to order at 6:04 p.m. II. In Attendance The following were present: Members: Bob Edwards, Mandy Owens, Jim Waldrip, Roy Gunn and Jane Ann Oldrup. Staff: Tim Williams and Elaine Mayfield Guests: Randal Seyler III. APPROVAL OF AGENDA Jane Ann Oldrup made a motion, seconded by Jim Waldrip, to approve the agenda as presented. All were in favor, motion carried, the September 29, 2014. Agenda was approved. IV. Approval of Minutes Jane Ann Oldrup made a motion, seconded by Mandy Owens, to approve the minutes as presented. All were in favor, motion carried, the June 30, 2014, minutes were approved. V. RECREATION SOFTWARE AND WEBPAGE PRESENTATION AND REVIEW Damian Cheatem gave a brief power point on Book King Software. Jane Ann Oldrup recommended the use of Book King Software, Roy Gunn seconded and all were in favor. VI. VOLUNTEER LITTLE LEAGUE COACH BACKGROUND CHECKS Tim Williams brought to attention the request of Parks and Recreation handling volunteer background checks. The Commission would like to look at the work load and the liability issues. Mandy Owens motioned to wait on a decision until more information such as work load and liability is available, Jane Ann Oldrup seconded the motion and all were in favor. VII. COMMUNITY COMMENTS There were no community comments. VIII. ICIP PROJECTS a. Bauman field/Coca Cola Field- Roof project for about $75,000 b. Eastside Little League- Restroom and Concession Roof $75,000 IX. CAPITAL PROJECTS a. Park Signage- there are 2 parks that are set to get signs the Nancy Lopez Golf Course at Spring River and Altrusa Park. b. Vehicles- 2 new vehicles picked up this weekend one for parks and the other for Yucca c. Stage Repairs- It will cost about 8 to 9 thousand to fix dings. d. Play Equipment- Almost finished with the Yucca playground, Melendez Park will get new play equipment, and Bob Hall Park will also get some equipment. X. Staff Reports a. Zoo Report- Elaine Mayfield: This summer the Zoos numbers have gone up. b. New Employee- Gina Amos took Diane’s position and Joe Vargas is no longer with us. c. Budget Update- Budget was past with some cuts and now we are into the New Year budget. d. Cahoon Pool Update- Interior looks great, The pool was leaking about 20,000 gallons a day. The pool also needed a new pump and motor. The contract with USA Pools had a renew clause for however Mr. Williams opted not to go another year with them. e. Parks & Recreation Reorganization- Mr. Williams is working with finance to change up some employee positions. f. Fee Schedule Overview- The department is working on a revised fee schedule which staff hopes to have done by the next meeting. XI. Unfinished Business There was no unfinished business. XII. New Business There was no new business XIII. Consider & Set Date for next meeting The next Parks and Recreation Commission meeting is set for October 27, 2014.
