The Parks and Recreation Commission of the Town of Sahuarita met in the Sahuarita Council Chambers,
375 West Sahuarita Center Way, Sahuarita, AZ 85629 on Wednesday, August 1, 2018.

1. Approval of the May 2, 2018 Commission Meeting Minutes

IV. BUSINESS
1. Discussion on a Revised Field Allocation Policy
Adelina Martin, Recreation Programs Administrator gave a presentation on changes to the
Field Allocation Policy. Primary changes are establishing Recognized Sports Organizations,
requiring payment in advance of each month, and establishing a deadline in advance of each
month for groups to request changes to their permitted dates/time of use.
Discussion ensued.
Staff is meeting with a representative from each user group to solicit feedback on the
revisions, and will use the new policy for the spring allocation cycle.

2. Discussion on Proposed Revisions to the Parks and Recreation Area Design and
Development Standards Manual
Smejkal gave a presentation on her perspectives on potential revisions to the Parks and
Recreation Area Design and Development Standards Manual. One primary concern is the in-
lieu fee, which hasn't been revised in 13 years, and appears to contradict the goal of
obtaining more park land.
Discussion ensued.
Staff will continue to work on fine tuning a draft for additional review and discussion.

V. COMMISSIONERS' AND DIRECTOR'S REPORTS ON CURRENT EVENTS
1. Director and Commissioner Report
Huckins attended the 2018 Arizona Parks and Recreation conference, and expressed
appreciation for the experience.
Smejkal highlighted a busy summer for the department with great things happening.
The six week Summer Open Rec program operated at capacity with waiting lists.
Attendance varied during the nine weekend aquatic program. The program provided
service to those who do not have access to a pool. Recreation is establishing a mobile
rec program to offer more spontaneous programs in the parks.
The July 4 celebration went off without a hitch, with an estimated 10,000 in attendance
and a fantastic Fireworks display. Upcoming events are: Concert at the Lake on August
4, Canoe Days August 11 and 12. On August 25, a Rabies Shot Clinic at Anamax, and a
Movie in the Park at Quail Creek - Veterans Municipal that evening.
Staff completed turf regeneration at Quail Creek dog park and on the fields. New
landscaping at Anamax Recreation Center is complete. The basketball court at Anamax

Park has a new color coating that is drawing a good crowd. Staff purchased equipment
to enhance projects in the parks. Staff is restoring the ball diamonds to regulation
standards.
Thomas thanked everyone for the job well done on the July 4 event.

Pursuant to A.R.S. § 38-431.02 notice is hereby given to the public that the Sahuarita Parks & Recreation
Commission will hold a meeting at the date and time specified below at the Sahuarita Town Hall Council
Chambers, 375 West Sahuarita Center Way, Sahuarita, Arizona. Members of the Commission will attend
either in person or by telephone conference call.
To better serve our community, the Council Chambers is wheelchair accessible. Persons with a disability
may request a reasonable accommodation, such as a sign language interpreter, by contacting the Town
Clerk’s Office at 520-822-8801. Requests should be made no later than three working days prior to the
meeting to arrange the accommodation.
