Village of South Amherst Board of Cemetery Trustees Meeting 11/09/2022 Rosemary Leshinski called the meeting to order at 6:02 pm Board Members present: Rosemary Leshinski, Marilyn Makruski, Andrew Johnson Village Council Liaison: Scott Jones Visitors: Mayor Leshinski, Emil Ruth of GoGreen Landscaping,461 E. Lorain St., Oberlin, OH Agenda Rosemary Leshinski asked if there were any additions to the agenda. Paula noted a few items at the bottom of the agenda she provided (noted **below). Rosemary Leshinski moved to accept the agenda with the additions. Marylin Makruski seconded. The roll was called in favor. Visitors Emil Ruth – He sent his proposed 2023 contract via email earlier in the day. Paula ran the numbers that show a 37% increase for each mowing at Evergreen ($580 per mow was increased to $780 per mow). The overall contract increased costs by 35%. This is the first price increase requested by GoGreen since 2018. Emil is going to talk to Tyler, who put the contract together, to see if 2023 proposed prices could be reduced. The Board will have a special meeting on December 14 to discuss. Paula will announce it and put an agenda together. An invoice was sent for brush hogging at the cemetery in June, 2022. Emil said that this was being done at no cost and the invoice will be voided. **Oetzel replacement military marker was received. After looking at it, Emil said they can install next Spring. Meeting Minutes Rosemary Leshinski moved to accept the minutes from the November 9, 2022. Marylin Makruski seconded. The roll was called in favor. Reporting – Financial and Other UAN Financial Reports for October 2022 were presented for review. Ref. Exhibit A. Paula Knodel presented the current list of burials and lot sales for 2022. Ref Exhibit B. Andrew Johnson moved to accept the presentation of these reports. Marylin Makruski seconded. The roll was called in favor. **Financial – Other – Paula asked if Tuttle contract could be cancelled for failure to pay. Board said it fell within the contract language to do so. **New Camera was purchased per last month’s meeting approval. **Paula asked if a small laptop could be purchased for Board/Clerk use. Andrew Johnson said one could be purchased during Black Friday Specials for less than $130. He made a motion to approve the purchase. Marylin Makruski seconded. The roll was called in favor. Old Business Columbarium Project – An updated contract was received from Franklin Monument just prior to this meeting. Copies were provided to the Board. The schedules referred to in the contract have still not been provided. Further discussion will happen at December’s meeting. Sign Designs – Andrew Johnson made a motion to table this until the website is updated. Rosemary Leshinski seconded the motion. The roll was called in favor. Cemetery Webpage Development - Scott Jones is working with Laurie Beran on improving the cemetery portion of the village website. This will be ongoing until early in 2023. Cemetery Bylaws – The Board approved Bylaws for 2023 need to be reviewed by the Ordinance Committee. No objection is expected from them. They can then be presented to Village Council for approval. Even if they can’t be approved until January, they can make the approval effective as of January 1, 2023. Main Entrance Pothole Repair – Has not been completed. The mayor is going to take care of this by the end of the week. Tree Removal at Pioneer Cemetery – The trees have not yet been removed from Pioneer. Council asked Paula to follow up with Bob’s Tree Service. Grave Dressing and Seeding – David Valentine emailed to say that all the graves on his list have been dressed. Any other items will need a new work order. New Business Fall Clean-up – Board members plan to go to Evergreen next week to clean up for Fall. All spring/summer decorations will be removed. 2023 Diggers of Ohio LLC Contract – An email from Blake Hyster stated that there is no increase in the contracted fees for 2023. Andrew Johnson motioned to approve the contract. Rosemary Leshinski seconded. The roll was called in favor. Paula to prepare contract for execution. 2023 GoGreen Landscaping Contract – Reference “Visitors” section for more details. There was further discussion on other options available to keep costs in check. Board will wait to see with Emil comes back with. New Entrance Road Project – 2023 – Mayor asked Paula to contact Bramhaul Engineering to see what they will charge to work up an RFP for the project. Project to be completed in Spring 2023. New Walkway Entrance – 2023 – Board needs to meet at the site to discuss how to design this new entrance. Project to be completed prior to Memorial Day, 2023. **Cemetery Maps – there are several tubes of maps of the cemetery being stored at town hall. Jeanne Maschari asked that the Board decide which can be disposed of and which can be sent out to be digitalized. Andrew Johnson is taking charge of this task. Marylin Makruski moved to adjourn.
