Library Board of Trustees Minutes of Meeting July 20, 2020 Sterling Heights Public Library 40255 Dodge Park Sterling Heights, MI 48313 586-446-2665 Meeting was held via Zoom, meeting ID 910 0249 5171 I. Call to Order Meeting was called to order by Chris Frezza, Chair, at 5:33 p.m. II. Roll Call Members Present: Shirley Cozort, Chris Frezza, Terry Hojnacki , Wendy Popko, Stacy Ziarko Members Excused: III. Approval of Agenda Motion to approve the agenda was made by Cozort, seconded by Hojnacki. Motion carried. IV. Approval of Minutes Motion to approve the minutes of the meeting of May 18, 2020 was made by Hojnacki, seconded by Ziarko. Motion carried. V. Communication from Citizens none VI. Monthly Reports, Statistics, and Correspondence A. Building-Wide Stats – FY2019 / FY2020 Board reviewed statistics. Statistics ended lower in all categories, except for Programming, due to the building closure for three months. Taking an average over the first nine months, the library was set to hit most targeted goals for visits, circulation, etc. Materials were ordered and purchased during the closure, now staff are trying to catch up to add materials to the catalog so that residents can borrow them. B. Monthly Issues – May and June 2020 Board reviewed the monthly issues reports. The Board commended the staff for their hard work during the building closure and was impressed with their ability to work quickly to change to virtual programming, create the curbside service, and continue to serve our residents in any way possible. Board asked if creative writers group members could access computers to participate in program. They would need to register for an hour of PC time in the evening during the meeting and then could participate. Some Board members have received compliments regarding the curbside service. C. Compliment/Complaint Forms Board reviewed compliments. Received compliment for the library cooperative and the library staff for services provided during this “trying time”. Received compliment for services provided by Carolyn Sherrill. Board reviewed suggestions / complaints. Suggestion was made to discontinue use of plastic bags for the curbside service. The plastic bags will be used during the COVID-19 pandemic to keep staff and patrons safe. VII. Suburban Library Cooperative The Cooperative is almost ready to launch a new feature on the mobile app that will allow patrons to check out library materials on their own mobile devices. VIII. Friends of the Library A. Bookstore Report Bookstore income sits at $9,000 for the year, which is much less than the $45,000+ that was expected at the beginning of the year. A pop-up book sale was held that raised over $600. The next one is scheduled for August 22nd. The hope is to have the bookstore open in late Fall when the first phase of library construction is completed. B. 2020 Budget The Friends will have to use savings to balance the $54,000 budget this year. The Overdrive expenses will be reduced for next year as more of the city budget will be used for that service. Programming expenses will need to be reduced as well since it is the largest expense. IX. Unfinished Business A. Building Updates Construction continues on the building with studs put up for new walls for the teen room, study rooms, makerspace room, and youth services staff room. The target is to have Phase 1 completed in the late Fall and then construction to finish in early 2021. X. New Business A. 2020/21 Library Board Meeting Dates Cozort made a motion to approve the 2020/21 Library Board Meeting Dates Public Notice, supported by Frezza. Motion carried. Meetings will need to be held at the Community Center until there is space in the Library. An option to use Zoom will continue until the Governor’s Emergency Order ends. XI. Adjourn Motion was made by Frezza to adjourn, supported by Cozort. Motion carried. Meeting adjourned at 6:05 p.m.
