Plan to reschedule Page 1 of 4 COMMUNITY ENGAGEMENT COMMITTEE MEETING MINUTES COMMISSION CONFERENCE ROOM THURSDAY, MAY 2, 2024 5:30 PM Call Meeting to Order - Record Attendance Committee members: Bethany Stover, Nick Erickson, Carla Hendon, Jena Wilmers, Erin Gregones, Nicole DiDonato, Roxanne Deschaine Discussion Items Approval of Previous Minutes - J Wilmers approved. C Hendon seconded Park Parties Wrap up - Date: 6/13/24 Rain Date: 6/20 Time: 5:30 - 7:30 Booths - Champion (Nick) - he has 8 business currently interested in a booth. Goal is to get 10 but if we get 15 that will be the max. He will then start a waiting list (with emails) from those businesses for us to build a data base for the next park party. Food Trucks - Champion (Carla) - she has secured Pizza MI and El Carraba for food trucks and a frozen yogurt truck. She will be the main Point of contact (POC) for the trucks to t let them know if the event is canceled due to weather. Water - Champion (Bethany)- Bethany is working with Carla & Meijer to get the water for the event. Games/Activities - Champion (Erin) will get 3-4 activities for the community to do while visiting the park CEC Table - Champion (unknown) - we would like to have voter registration info - summer reading info - and community survey flier (with QR code) so community can complete on their phone 3 mile. Mayor's Reading Initiative - Community Engagement Committee Minutes 5-2-24 Page 2 of 4 We will only be distributing to Zinser and Central now for a total of 180 kids The flier will be released once is updated and the funding for the books has been completed. Bethany (thank you rockstar) got a list of books and took it to the school to have them helps us choose books for the level of reading. Through KDL they can get the books for us for $6 each so in order to give all the kids 3 books the cost will be $3,240. (Jena) will create a sticker for inside the books and update the flyer with logos of KDL/AT&T/DTE once they are received. Also work on a book cover for the cameo’s for the - How to Play pickle ball book and the I like big trucks book) Champion (Nicole, Mayor Carey) will get the logo’s for AT&T/DTE to Jena to incorporate on the flier. Reading Events - Champion (Nicole, Mayor Carey) **Note we are going to encourage the kids to bring their books to do a book exchange at the events as well. Reading Event #1 Bedtime story in pajamas Date: 6/18/24 Time: 7p Location: Sr. Neighbors Reading Event #2 Story at Double Dip Depot (in the big chair) Date: 8/19 Time: 7p Location: Double Dip Depot Champion (Nick) will work on getting Golf passes for those who complete their books. (Nicole) will work with DPW to get traffic signs so traffic keeps flowing and it’s safe for all. Nicole and Mayor Carey will work on For the distribution event - Champion (Bethany) will work with the schools to do a pep assembly type event where the students. Mayor Carey will pass out the backpacks and then the student will pick out the three books they would like from the tables of books that will be set up. News coverage - Bethany suggested we may reach out to School News Network. We should also possibly reach out to WZZM/FOX/WOODTV8 for coverage. Supply Drive Updates - Dates: July 8 - August 16 Packing Date: TBD (the week of 8/19-8/23) Distribution Date: TBD (the week of 8/26 - 8/30) Number of students: 350 Community Engagement Committee Minutes 5-2-24 Page 3 of 4 Bethany spoke with Kim Opalski (sp?) at Alpine Elementary she is going to get lists from the teachers so we can make a master list of supplies. There are Collection - Champion (Erin) will get boxes for the collection points and get the items picked up when boxes are full. Collection Points: 1. WIFC Champion (Nicole) will reach out to set up 2. Ice Cream Garage Champion (Nick) will reach out to set up 3. Alpine Meijer Champion (Carla) will reach out to set up 4.
