Warrensburg Convention & Visitors Bureau Minutes Zoom 10 a.m. Thursday, April 11, 2024 A meeting of the Warrensburg Convention and Visitors Bureau was held at the Warrensburg Visitors Center, 205 N Holden, Warrensburg on Thursday, April 11, 2024, at 10:06 a.m. with President Tom Koeingsfeld presiding. Roll was called as follows: Present: Kelly Brooks, JonAllen Cocumelli, Tom Koenigsfeld, Ginny McTighe, Dana Phelps, Diane Thompson and Diane Whitworth; and exofficio member Jim Kushner Absent: exofficio members Chris Deal and Danielle Dulin The adoption of the agenda was considered. McTighe made a motion to adopt the agenda as presented. The motion was seconded by Whitworth. Motion passed. The Board was recognized for National Volunteer Month and a trivia regarding tourism statistics was held. Minutes of the March 14, 2024, WCVB Board meeting were considered. McTighe made a motion to approve the meeting minutes as presented. The motion was seconded by Brooks. Motion passed. Financial report* was provided by the WCVB Director. FY 2023-2024 As of April 8, 2024, $393,006 revenue has been collected. As of April 8, 2024, $165,716 expenses have been incurred. Journal Entries for February and March tax collections and grant reimbursement have not been posted. Journal Entries for February and March personnel expenses have not been posted. March Lodging Tax Collected: $31,282 *Bank Balance: $487,923 (*Not Reconciled as of 4/8/2024) *Unaudited numbers provided. The WCVB Director provided an update on the WCVB’s Strategic Plan. The plan will be updated by the Board during their June 13 Retreat with the assistance of consultants Tracy Kimberlin and Kathleen O’Dell. The WCVB Director presented the Missouri Division of Tourism’s Marketing Matching Grant for the approval to apply for $65,000. The application would include an agreement with McDaniels Marketing to secure ad buys, placement and creative for $27,000; for a total expense of $157,000. The grant is a 50/50 matching reimbursement grant. It runs July 2024-June 2025. McTighe made a motion to approve the WCVB Director to apply for the grant for the total project expense of $157,000 ($65,000 MDT and $92,000 WCVB); and following the notification from MDT the grant was approved, to enter into an agreement with McDaniels Marketing. The motion was seconded by Phelps. Motion passed. The WCVB Director presented a sponsorship application from UCM Foundation for the MIAA Summer Advancement Conference July 10-11, 2024 for the amount of $1,500. The conference will utilize 40 hotel rooms. Phelps made a motion to approve the sponsorship with UCM Foundation for $1,500. The motion was seconded by McTighe. Motion passed. The WCVB Director provided the Director’s Report. The director discussed upcoming events; past events; important dates for the Visitor Center; and projects the WCVB is currently working on. City of Warrensburg Councilmember Jim Kushner provided an update on behalf of the City of Warrensburg. The meeting adjourned at 11:16 a.m.
