Warrensburg Convention & Visitors Bureau Community Support Committee Meeting Notes 3:30 p.m. Tuesday, October 8, 2024 Via Zoom A meeting of the Warrensburg Convention and Visitors Bureau Community Support Committee was held via Zoom on Tuesday, October 8, 2024, at 3:36 p.m. Roll was called as follows: Present: JonAllen Cocumelli, Annie Dillard (joined shortly after roll), Kelsey Lee (joined shortly after roll), Dana Phelps, and Diane Thompson (joined shortly after roll). The adoption of the agenda was considered. Phelps made a motion to adopt the agenda as presented. The motion was seconded by Cocumelli. Motion passed. The appointment of a committee chair was discussed. JonAllen Cocumelli agreed to serve. Cocumelli was nominated by Phelps. Cocumelli seconded the motion. Motion carried. The WCVB Director provided an overview of the organization’s program: grants and sponsorship and the WCVB strategic plan’s goal 2: Tourism Development. The WCVB Director presented a recommendation to change the name of the program from Community Support to Tourism Development. The current name leads to confusion on the purpose of the program. The WCVB Director presented recommended revisions to the 2024-2025 WCVB grants. The recommended changes included: implementing the use of a scorecard when reviewing applications to ensure consistency in the awarding; requiring proof of recognition with the reimbursement documents; authorize the director to return incomplete applications or applications that do not fit within the criteria of the program and revising the eligibility for an event from 8 years to 5 years unless the event has had changes to justify the funding continuing. The WCVB Director presented a draft of the scorecard. The WCVB Director presented recommended revisions to the 2024-2025 WCVB sponsorships. The recommended revisions included were applicants being required to do a post-event assessment with the director, require recognition of the WCVB for the sponsorship; and funding eligibility for an event to be 3 years unless the event has bene changed to justify the funding continuing. A tentative timeline for the 2024-2025 program was presented with the upcoming review deadline of Monday, November 11, 2024. A future meeting will be scheduled before the November 14, 2024 WCVB Board Meeting to review grant applications submitted by the November 11, 2024 application deadline. Meeting adjourned at 4:48 p.m.
