Personnel Committee Meeting Minutes Monday, August 19, 2013, 5:00 p.m. Personnel Committee Present: Jerry Filut- Chair, Tami Pollnow, Tom Roanhouse, Linda Laib and Glen Collins. Also present: Rebecca Ewald. Filut called the meeting to order at 5:09 p.m. The July 15 minutes were already approved. Pollnow moved and Collins seconded to approve the July 30, 2013 meeting minutes. Motion carried. Central States is currently working on providing agreements that are reflective of prior agreement language which allows employees to elect whether or not they choose to participate in the program and excludes coverage to part time employees. It was noted by the Committee that the participation agreements should be provided directly to the Village Board and the Committee notified when completed. It was noted that Filut, Roanhouse and Ewald have a meeting scheduled with the Teamster Union on 8/26 at 5:00 p.m. to review the only remaining item for the contract, wages. Central States will be checking to see if they have a health insurance plan which does not include the life, Accidental Death and Dismemberment (AD&D) and Short Term Disability (STD) coverage and if so, what reduction the weekly premium reduction would be if not included. Filut suggested breaking out the short term disability and to consider employees paying the premium. Ewald noted that Principal was the lowest cost option for coverage. Principal’s new rates will go into effect on September 1 and should the Committee choose to change the benefits they could make the necessary changes. Pollnow moved to review of the annual breakdown of our current cost for life, AD&D and STD, and requested a quote for long term disability with standard coverage. Roanhouse seconded. It was noted the Committee would like to review all the information at the next meeting and then decide whether to explore more options with the insurer. It was noted when there is resolution on the coverage provided moving forward, Principal should come to do an educational session with the employees. Motion carried. The Committee received the external posting for the clerk’s position. The deadline for applications is August 23. Laib and Filut noted they will have conflicts of interest, and Pollnow may have a conflict of interest, as they are related to or know some of the applicants. In such case the Committee members noted that they would not participate in the review process of the applications or interviews. It was noted that the Village Board would be requested on 8/26 to allow intern Cammilleri to continue in the capacity of intern after September 1 to assist with projects that require attention due to the resignation of the Clerk. Pollnow requested the Administrator to clarify with Cammilleri that he would continue in the position of intern and applications for the clerk position will be reviewed in accordance with the interview process.
