II. APPROVAL OF AGENDA The agenda was approved unanimously. III. APPROVAL OF MINUTES PR15-025 APPROVE MINUTES FROM PREVIOUS MEETING 2-22-16 The minutes were approved unanimously. IV. PRESENTATION V. OLD BUSINESS VI. NEW BUSINESS PR15-026 TENNIS CENTER SELECTION COMMITTEE PROCESS Mr. De La Vega gave a brief overview of how the process of scoring will work. Dr. Falzone asked for any questions or comments from the committee. Mr. Pignato asked for clarification on what Tennis Exclusive was asking for reimbursement from the Village. Mr. de la Vega confirmed there was no charge to the Village. Mr. Pignato also noted that their resume ends in 2014 and asked if anyone knew what they have done since or what they are doing now. It was not confirmed if they were still at the last place listed on their resume. Mr. Pignato also asked about a reference that responded that they have never been in contract with Tennis Exclusive but rather Mr. Murphy individually. That was confirmed. There were no further questions so the committee recorded their scores. The scores and rankings were calculated to determine an overall ranking as follows: 1- Cheatham Inc. 2- Jeff Bingo 3- Tennis Exclusive 4- Plantation Pro Shop 5- Alex Ringwald 6- Championship management. Dr. Falzone asked for suggestions on how many submissions to be sent back for presentations. Mr. Pignato suggested 4 and the committee was in agreement. Dr. Zipp made a motion to bring back the top 4 ranked proposers Village of Wellington Page 1 Parks & Recreation Advisory Board Action Summary - Final March 7, 2016 for presentations and Mr. Forgione gave the second. The motion passed unanimously. Dr. Falzone summarized that the board had determined the presentation would be 30 minutes and asked if a question could be posed to the presenters. He mentioned the fees were not clear on all proposals so he suggested they be asked what they will be charging for one week of summer camp, family annual pass and league fees including all practices, coaching and uniforms. Mr. De La Vega explained that the proposals become public March 18th so they will be available before the next meeting of this committee. He also indicated the order should be picked and what time the meeting will start. Dr. Falzone asked the committee if they preferred all in one night or over two nights. The committee agreed to meet at 6:00pm on March 28th. Mr. Pignato asked if it was permissible to ask for additional information since the proposals are already in. Mr. de la Vega explained he will check with the legal department to make sure. It was determined that it was important that if it was allowable, they would need to submit before the proposals become public. The order for presentations was drawn and Cheatham Inc. present first, Tennis Exclusive second, Jeff Bingo, Plantation Pro Shop fourth. Mr. De La Vega explained that the meeting will be closed to the public during the presentations and after all are completed, the meeting would be opened to the public. He also cautioned that the cone of silence is in effect until the Village Council makes an award. VII. PUBLIC COMMENTS VIII. BOARD COMMENTS IX. CLOSING COMMENTS X.
