BOARD OF TRUSTEES SPECIAL MEETING AGENDA 3/8/2021 Prepared by: Sherry Weinkauf, Village Clerk VILLAGE OF WESTON, MARATHON COUNTY, WISCONSIN 5500 SCHOFIELD AVENUE, WESTON, WI 54476 Board of Trustees – 3/8/2021 From: Sherry Weinkauf, Clerk Question: Should the Board of Trustees allow the Village Clerk to sell 9 Badger Books to interested municipalities in the amount of $1500 each? Background We purchased a total of 22 Badger Books (electronic poll books) back in 2019. This was the quantity needed for four different polling locations. Then Covid hit in 2020, and as you all know, we combined all polling locations into one. In October, I contacted the Elections Commission to see how many Badger Books we could use, at one time, at our one location. I was told not to use more than 10 at a time, which includes 1 server and 9 clients. Anything over 10 could cause communication issues between the server and all the clients. We also use 3 Badger Books (1 server/2 clients) for Absentee Central Count at the Municipal Center. The bottom line is that we only need to keep 13 Badger Books and sell 9 (3 servers/6 clients). We can’t sell the clients without a server so my hope is that three municipalities would each take 1 server and 2 clients. Back in February I contacted the County Clerk and asked her to reach out to some of the area Clerks to see if there would be any interest in purchasing the extra Badger Books from us. There is some interest and I’m hoping to get approval to sell, as soon as possible, with the hope that maybe the clerks can use the Badger Books for their April Election. On Thursday, we held a staff meeting and decided that $1500 each would be reasonable. Back in 2019 we paid $2056 for each Badger Book, this included the unit price of $1641, plus 415 for accessories and programming. We felt there should be some kind of savings otherwise the buyer would be better off purchasing brand new. Public Review: No Prior Official Review. Fiscal Impact: $13,500 if all 9 Badger Books are sold Recommendation: Allow the Village Clerk to sell 9 Badger Books to interested municipalities in the amount of $1500 each. Recommended Language for Official Action I move to allow the Village Clerk to sell 9 Badger Books to interested municipalities in the amount of $1500 each.
