Bluffdale Arts Advisory Board Meeting Minutes
Tuesday, March 28, 2023
1. In attendance:
a. Laura Garner, Malinda Severn, Kara Allen, Kerry Severn, Elizabeth Lines, Melanie Gonzalez,
Marianne Dunn, Chelsea Otteson, Amanda Luker, Julie Fox, Ruth Gledhill.
2. Report on Seussical:
a. Concerns mentions that some patrons were confused by the extra barcode on ticket receipt
when donations are made. Amanda will offer feedback to the company and make them aware of
the issue.
b. Proposal - go cash free at events - city is working on Apple Pay
i. Pros
1. don’t need to go to the city to pick up a cash box
2. City personnel doesn’t need to be there
3. simpler
ii. Cons
1. Some people don’t use credit cards
2. Someone may show up with cash
3. Need to have two people there to account for the cash
4. If not entered in the system, how do you assign a seat
iii. Table this for another time after we have had a chance to think about it
c. Seussical cast party
i. Julie will check with Summit and see if there is a time we could reserve a room there
3. Discussion Items:
a. Upcoming Summer Shows:
i. Julie - The Play That When Wrong, June 15-24, 2023 - needs?
1. We received scripts for the Junior version
2. The company agreed to send the correct version, we can keep the scripts as the
company doesn’t take them back
3. Ralph and Karla are doing sound
4. Kelsha is doing lights
5. Show days Th, F, S, M, Th, F, S
6. Set created by Chuck, Kelly, and Scott (design by Julie)
7. Performance on park stage (soccer over by June 6, 2023)
8. Set security - ratchet with tarp (maybe one or two scout trailer(s) to store props -
Ruth will look into it)
9. Check with city to see if the trailer is covered by insurance under the umbrella of
our activities
10. QR code for donations (free concessions/tickets) - Laura will also find a
donations box
11. Melanie and Marianne incharge of concessions
12. Julie is in charge of getting chairs over there
13. Ruth will help with sitting seats up each night
14. We have rugs to cover light cords.
15. Need to provide cover/protection to keep kids away from tech table using rebar
and wood - Laura/Chuck will look into getting something made
ii. Kara - Kids Theatre - Provide detailed plan
1. Provide 2 songs that will be part of the musical review
a. Newsies -
b. Matilda - Revolting children
2. Planning on maybe 60 - 70 kids (9 - 13)
3. Costuming - Newsies costumes (Kara will meet with Elizabeth)
4. Registration - Airtable or website form (Kara will work it out with Amanda)
iii. Kerry/Malinda - Musical Review, August 3-5, 2023 (HVMS is available from June 15-
August 10)
1. Ages 14 - 30 for this show; special invite for younger roles
2. Auditions potentially May 5-6 (Kerry will work with Julie on schedule)
3. Cast of 60 - 80 (12 weeks is optimal, but should have at least 9 weeks)
4. Flexible with schedules - cast can choose level of commitment
5. Show length be 1.5 to 2 hours
6. Bluffdale in Lights - an experience for youth
7. Auditions, Day Camp,
8. Kids work on a solo song, perform for a panel and get feedback, perform
Karaoke Night
9. Set can be 4-5 major pieces where they can rotate
10. Four major themes in the performance - fairy tales, monsters and men, high
school,
iv. Kelsha - October (HVMS is available between October 15 - November 15)
1. Kelsha and Laura will work out the details
b. Arts Event
i. May 22, 2023 - Love Where You Live
1. Independence Splash park
a. Need help that night 6 - 8
b. Build and decorate bird/butterfly kites
c. Bluffdale Arts will cover the cost of dowels
d. Need help with prep
ii. Aug 12 - City Celebration
1. Day ranch park
2. Butterfly area
3. Need help 11 - 2
iii. City Building Art Display June 2 - 30
1. Accepting art until May 24th (Bluffdale.org)
2. Reception - June 2
a. Introduction Bluffdale Arts with music/costumes and acts
i. Jana Christensen’s theater group - Melanie will contact to see if
she would like 30 minutes
ii. Nate Anderson may want to have time as well
b. Refreshments
3. Create poster to advertise the art show during “The Play that Goes Wrong”
c. New Board Members
i. Laura will look into the resumes
d. City Budget
i. Keep doing what we are doing
