Call to Order The meeting was called to order at 6:36 p.m. II. Approval of Agenda Mr. Grims motioned to approve the agenda as proposed. Ms. Oarr seconded the motion. All were in favor. The motion passed 4-0-0 III. Approval of November 3, 2015 Minutes Mr. Grims motioned to approve the minutes as submitted. Mrs. Pianowski seconded the motion. All were in favor. The motion passed 6-0-0 IV. Treasurer’s Report for November 2015  Mr. Bradford presented the bank account statement for the period ending 11/ /2015, reflecting a balance of $1,698.05 and showing ___ transactions during the statement period, to those present. Ms. Oarr motioned to approve the Treasurer’s Report. Ms. Ellis seconded the motion. All were in favor. The motion passed 6-0-0 V. Recent Events a. Blues Festival – 11/14/2015 Ms. Araghi thanked the Recreation Board for helping set up, tables and decorations. She indicated that the DCBS newsletter has a complete list of event supporters. Copies of the newsletter will be provided at the next Board meeting. Ms. Araghi raised two primary concerns about this year’s event:  Guests were entering Ritchie Coliseum while vendors were still setting up.  Due to other events on campus, there were fewer tables and chairs for guests on the gymnasium floor. Many were accommodated on bleachers near the stage and in the stadium seating upstairs. She mentioned that Nando’s Peri- Peri provided chicken, salad, rice and much more for the performers. There were not many surveys completed this year. Ms. Araghi suggested that College Park memorabilia be handed out upon completion of the surveys as a token of appreciation to encourage more participation in the survey, (e.g. a City of College Park pen). Ms. Fletcher reported a count of 508 guests at 10:45 p.m. Less than the more than 600 reported for the 2014 event. One thought is that the last few years the headlining groups did not have a large local (less than 25 mile radius) following. There was discussion on the acoustic versus non acoustic opening. The acoustic band is a less expensive way to begin the evening, possibly encouraging guests to walk around to visit the vendors and make more purchases. The beer and food tasted great and prices were great! Ms. Ellis would like to see one more item on the menu perhaps chicken fingers. The prices were well displayed. Someone suggested to Ms. Araghi, that a drum casing be added to the stage to improve the sound in addition to the rug underneath to help with the sound. The walls are concrete and it’s difficult to work with. There was discussion on the Board’s role in selecting bands for the program. It was agreed that the Recreation Board should resume their role in the selection of at least one of the bands for the 2016 event will work within the parameters of the budget 2 12072015 Approved Minutes  guidelines. The MOU does already say the Recreation Board works in conjunction with the DC Blues Society. Ms. Ellis motioned to have a more assertive role in choosing the performers next year specifically to pick one (1) band. Ms. Oarr seconded the motion. All were in favor. The motion passed 6-0-0 VI. Future Events a. Breakfast with Santa - 12/12/2015 Mr. Grims, Ms. Oarr, Mrs. Pianowski, Mr. and Mrs. Bradford will arrive at 8:30 a.m. to set up. Ms. Fletcher ordered non-flavor boxed milk and Mr. Bradford will purchase flavored milk from Costco. Department of Public Works (DPW) Staff Member, Paula Greene, is preparing the gift bags and has sorted the items by age groups. She asked, via Ms. Fletcher, if it would be suitable to wear a Mrs. Santa suit instead of the elf suit if available. There will be a puppet show from 10:00 a.m. until 11:00 a.m. DPW staff will deliver all event related items to the College Park Community Center on Thursday, December 10th. Mr. Bradford indicated that Santa would arrive at 11:00 a.m. Mr. and Mrs. Bradford will go shopping at Costco on Wednesday. The Board discussed nominating Ms. Greene for Employee of the Quarter. Ms. Araghi motioned to include detailed discussion and nomination to a future agenda. Ms. Ellis seconded the motion. All were in favor. The motion passed 6-0-0 b. Family Bowling - 01/31/2016 Last year the City paid for forty (40) bowlers. This year they will pay for fifty (50) bowlers. The lanes will be grouped together nearest the lounge area for easier access to food and beverages. The anticipated cost for the 2016 event is $1,002.41. The AMF-Group Agreement includes 11 pizzas and unlimited beverages during the event; additional pies will be purchased by the Recreation Board. c. Rock and Roll Concert – 03/05/2016 Board members discussed titles “Rock at the Moose” or “Rockin’ the Moose” to be used in promotional materials. 3 12072015 Approved Minutes  The cost of the Hall rental has been reduced to $500.00 The College Park Arts Exchange has agreed to co-sponsor the event to a maximum of $1,000.00 to be applied to the Higher Education Band, who has not set a fee for the event. Higher Education has invited Warden, a band from Bowie, to play that evening too. It is reported that Warden will not request a separate/additional fee as the two bands often play together at local event. Mr. Bradford reported that a $5.00 donation will be collected at entry and donated to the Moose Lodge. He further advised that this event will be restricted to 21 and over in order to comply with County and City Liquor License regulations. There will be a full service cash bar. Band members, Co-chair Bradford and Stephen Bradford will clean after the event. Mr. Bradford has confirmed with Mr. Ryan that a College Park Contract Police Officer will be on duty inside for the entire event. The Recreation Board will provide snack items on the tables and at the bar. d. Bunny Brunch – 03/12 or 19/2016 Mr. Bradford motioned to have the brunch on March 19, 2016. Mr. Grims seconded the motion. All were in favor. The motion passed 6-0-0 e. Good Neighbor Day – 04/02/2016 The Board may have to vote to donate to pay for a Dee jay. This is also a note to remind the Board to put this event on their calendar. f. Maryland Day – 04/30/2016 There is a call for volunteers to represent the Board in the City’s tent. VII. New/Other Business Next month the Board will be discussing the budget. Ms. Fletcher asked Mr. Bradford to contact past Field Users, particularly CPB&GC and the Maryland Stingers for early submission of Spring Use requests. VIII. Next Meeting Date: January 4, 2016 IX.
