APPROVED MINUTES SENIOR CENTER ADVISORY BOARD CITY OF DERBY August 11, 2021 9:12 AM ROLL CALL JIM BURGESS DIANE SCHMITT, TREASURER DIXIE CHAPMAN – VICE CHAIRMAN ELEANOR UNDERWOOD, CHAIRMAN TOM DAVIDSON, SECRETARY MARSHA VOLZ JANICE NEAGLE CITY STAFF KIEL MANGUS - ABSENT BREANNA MONK KIM HART Public Forum Agenda Item #1 RE: Meal Options / Senior Services BreAnna shared a Senior Services newsletter that had information about the Senior Services meal program. Discussion was held and meals will only cost $1 more than the Aging Projects meals. The program offers a really nice menu and the Board were all in favor of finding out more about this program. BreAnna said she will gather more information including how much funding will be needed, which includes salaries and grants. RE: Shuffleboard Table BreAnna stated the senior center has a new Shuffleboard table which needs assembly. This table will be located in the Class Room. BreAnna said sliders or felt pads will be placed under the feet. RE: Horseshoe Pit BreAnna told the Advisory Board the Horseshoe Pit will be built in September and will go on the West side of the building. RE: Outside Sitting Area BreAnna said she is researching an Outside Sitting Area. BreAnna stated it would be nice to have a door that goes out from the Game Room to the South of the building into an Outside Area for the seniors. RE: Foyer Refresh BreAnna said she is checking into a relaxing space to be in the front Foyer. BreAnna would like this to be a space where seniors could sit and will possibly have a Tropical theme. BreAnna will check on the pricing for this project. 1 RE: Pioneer Senior BreAnna said Amy Bruso the new Activity Coordinator is going to be hosting the August 18th. Pioneer Senior. RE: Jim Burgess Surgery BreAnna welcomed Jim Burgess back and congratulated him on his speedy recovery from Total Hip Replacement surgery on July 28th. The Board was happy he was doing so well. RE: Focus Group Results – Council Meeting BreAnna verified the Board received the email with the results from the WSU Focus Group. Jim Burgess said they should also get the Council Meeting. BreAnna will email the Council Meeting to the Advisory Board to review. RE: Card Bingo Marsha Volz thanked BreAnna for the headset and microphone at Card Bingo she said they also suggested it be used at Progressive Bingo. BreAnna said we will purchase new headsets to be used at Progressive Bingo. RE: Ted Austin Retirement BreAnna told the Board Ted Austin’s retirement will be September 16th. Ted’s position with the city is not being filled. Ted’s job duties are being broken up and assigned to several different employees. This includes Richard Montano and Kiel Mangus. BreAnna said she will have an update on this information at the September Board meeting. RE: Pool Room BreAnna told the Board she was approached by the Pool players and of the original Pool players there are two left. As part of the 50th Celebration the Informer is going to interview Milt Moore about his part in the starting of the Pool group at the Derby Senior Center. RE: 50th Celebration of the Derby Senior Center BreAnna explained to the Advisory Board that the 50th Birthday Party / Mayor on the Grill event is only the first part of a series of celebrations that will take place this year. There will be articles in the Prime Times, Informer and even a Scavenger Hunt to highlight different information about the Derby Senior Center. Discussion was held and it was decided there needs to be a committee formed to help with the Scavenger Hunt. BreAnna would like this activity in October. The Board suggested a few people that may have helpful information. 2 RE: New Derby After Hours Transportation BreAnna explained to the Advisory Board that the new transportation program will be used after hours or on occasion, for additional pickups. It will also have subsidized payment from the city. the city will be paying for Ubers after hours. The RSVP Transportation program will still pick up patrons out of Derby and around town. RE: New Directors BreAnna told the Board that there is a new Director at the Oaklawn senior center and her name is Alexandria. Jim Burgess stated Mulvane’s Director Jerry Meyers has retired. RE: Table and Chairs Austin Room BreAnna let the Board know that Logan O’Beirne is back to work, since he has been out for an apprenticeship. Logan works in Facility Maintenance part time so he will be here to assist on room set up and tear down. Discussion was held. RE: Senior Center Cleaning Diane Schmidt asked BreAnna what is the Tap Class using on the classroom floor. The floor is slick and they don’t look like they have been cleaned in a long time. Discussion was held about the condition of the classroom. BreAnna said she will have Amy put an ad in the Prime Times newsletter to try to recruit Volunteers and Room Cleaners will be some of the positions needed. BreAnna will check into this issue. Agenda Item #2 RE: Advisory Board Fund Report July 2021. Diane Schmitt gave the report for the Advisory Board Fund report July 2021. Diane reported there was $0 in revenue and $23.23 in expenses for a total balance $12,439.98. MOTION: Tom Davidson moved the Advisory Board Fund Report for July 2021 be approved: Janice Neagle seconded. VOTE: 6 yea, motion carried Agenda Item #3 RE: Approve July 14, 2021 Minutes. Marsha Volz pointed out a Name mistake on page three. It read Diane Volz and should be Marsha Volz. 3 MOTION: Jim Burgess made a motion to approve the July 14, 2021 minutes with the correction. Diane Schmitt seconded. VOTE: 6 yea, motion carried Agenda Item #4 RE: Approve July 2021 Derby Dash Scholarship Report BreAnna gave the July 2021 Derby Dash Non-Senior Scholarships used was $80 leaving a balance of $1,498. BreAnna stated July 2021, no senior center funds were used, leaving a balance of $131. MOTION: Diane Schmitt made a motion to approve the Derby Dash Scholarship Report for July 2021. Tom Davidson seconded. VOTE: 6 yea, motion carried Agenda Item #5 RE: Suggestion Cards BreAnna read the only suggestion card, it was to continue exercise classes with Taryn. BreAnna stated they are currently working on a solution for an instructor, since Taryn has a new job. Agenda Item #6 RE: COVID-19 Updates BreAnna stated the new signs posted is in regards to the new mask wearing policy which state employees do have to wear a mask in the City buildings. Vaccinated Patrons are encouraged to wear a mask and, non-vaccinated must wear a mask. Agenda Item #7 RE: Senior Garden BreAnna stated she had received several Grants and is only needing $2,000 more to pay for the fence that will go around the Community Garden. BreAnna asked the Board if they would donate $2,000 so this project can be completed. BreAnna said the fence company is out 6 weeks before they can install the fence. MOTION: Jim Burgess made a motion that the Senior Center Advisory Board donate $2,000 towards the fencing project completion at the Community Garden. Dixie Chapman seconded. VOTE: 6 yea, motion carried 4 Agenda Item #8 FE: Advisory Board Biscuit & Gravy Fundraiser BreAnna asked the Board how they felt about a signup sheet for the Biscuit and Gravy Breakfast fundraiser. Discussion was held and it was decided to have patrons sign up and pre pay. Patrons can also pay at the door. Janice Neagle asked what time the Board should be at the senior center that morning and BreAnna said 5:30 AM to help prepare the food. BreAnna said she will have a signup sheet made for this event so patrons can pay in advance as well as at the door. The event will be September 10th, 2021. The time will be 7 AM to 9 AM and the pricing will be 1 biscuit, 1 sausage with or without gravy is $3 and 2 biscuit, 2 sausage with or without gravy is $5. RE: “50th Celebration” T-Shirts Marsha Volz suggested selling the 50th Celebration shirts for a Board Fundraiser. BreAnna said staff will take T-shirt orders and the money for the shirts. Orders can be taken from signup day August 30th through September 30th. T shirts will be distributed at the Biscuit and Gravy Breakfast in October 8th. BreAnna said Amy Bruso will have an article in the Prime Times and she will also have flyers made. MOTION: Jim Burgess made a motion to take T-shirt orders starting August 30th through September 30th for $5 over the cost as a Board Fundraiser. Diane Schmitt seconded. VOTE: 6 yea, motion carried RE: Murder Mystery BreAnna reminded the Board they still have all the supplies to run a Murder Mystery. BreAnna said they purchased this back before Covid-19 happened. She said she would like to possibly have this event in October. BreAnna told the Board she would like to table the event planning at this time, until next meeting to discuss. Agenda Item #9 RE: Technology Lab Grant BreAnna said she has been working on several Grants for the updates to the Technology Lab. BreAnna let the Board know she had an estimate to resurface the counters and it was over the budget. The Grants received to date is $7,500 and the total needed is $21,000. ADJOURNMENT MOTION: Dixie Chapman made a motion to adjourn. Jim Burgess seconded. VOTE: 6 yea, motion carried 5 Meeting adjourned at 10:42 AM.
