Fanny Chapman Pool Board of Managers Minutes of the Meeting January 27, 2025 Attending: Brian Lange, Alan Krach, Amy Parenti, Rob Purdy, David Ricci, John West, Lori Howard, Mike Petrakis and Rebecca Masters. Also present were Pool Manager Drew Sterner and Borough Liaison Caroline Brinker Absent: None Also in attendance was Sherry Petrakis, Swim and Dive Team, and Student Member James Shandlay The meeting was called to order at 7:00 P.M. by Brian. Brian and the Board welcomed new Board Member, John West. Approval of the Minutes The minutes of the November 25, 2024 meeting were reviewed. Mike made a motion to approve the minutes, the motion was seconded by Rob, and the minutes were unanimously approved. Finance – Brian, Alan & Rob The Board reviewed invoices totaling $6,466.62. Alan reported the invoices paid were routine expenditures and budgeted costs. He noted the final 2024 Fanny Fest proceeds payment for $4,284.32 was made in December. Alan made a motion to approve payment of the invoices, the motion was seconded by Dave, and the motion to approve payment of the invoices was unanimously approved. Operations – Alan & Rob Alan and Rob had nothing to report, as the pool area is closed for the season. Programs – Lori & Becki Lori and Becki had nothing to report. Personnel – Rob and Lori Rob reported that a Code of Conduct for employees will be implemented in 2025 and will be included in the hiring packets for all new employees to sign. Caroline is meeting with the payroll software company to explore online onboarding. The Parent Board Sub-Committee report and recommendations will be reviewed during the Executive Session. Publicity/Marketing – Amy & Dave Amy and Dave recommended this committee be dissolved as Drew is currently covering all marketing actions and schedules articles and advertising for the Clipper, Cardinal and Observer. He manages updates to the Website, Instagram, and Facebook. Brian recommended the removal of the Publicity/Marketing bullet for the meetings and to have Amy and Dave assist with the 100th celebration committee. After the celebration, a determination can be made if a separate committee is needed. Long Range Planning – Alan Alan asked Drew about the timing of the pool floor work. Drew said when the snow melts, an inspection and assessment of the work needed will be completed to prepare for the Fall project. Membership Rules –Becki Becki had nothing to report. 100th Anniversary Celebration – Rob, Amy, Becki & Alan Caroline introduced the committee to the Borough event planner, Caitlin Hernandez, and the committee said she has been wonderful and has provided many ideas for committee review. Becki reviewed the schedule for the contest to develop a design for the commemorative tile. The contest will launch in the Spring of 2025, run through mid-August, and the judging and selection of the design for the tile will be completed by the end of August. Then the tiles can be produced and ready for sale by year-end. Amy met with the Historical Society regarding a video production. The end goal is to have a video ready for showing by April 2027. The cost may range between $1,000 to $2,500 for the videographer. DHS will help with the research and write the script for the video. The DHS videographer also partners with the County Theater. Alan is working on the event invitation list and possible alumni and employee reunion event. Caitlin outlined a fundraising dinner at the end of 2026 at Aldie Mansion for review. Lori will assist with a budget as options are being reviewed. Pool Manager’s Report – Drew Drew presented a detailed Pool Manager’s report. Print advertisements will be provided to the Clipper, Observer and Cardinal again this year. All 2025 documents, brochures, rules, website and social media platforms are being updated with 2025 pricing and information. Drew reached out to Kevin McCann regarding any changes to the Masters Program. On line registration will open March 1st and the early bird pricing will end April 15th. Drew has contacted 2024 staff about 2025 employment and is receiving applications for the new season. Once the snow has melted, Drew will have an assessment of the main pool floor completed to prepare for the Fall 2025 project. Drew will begin researching new Swim Team/Record Board options and suggests it be located in the pool office area. A brick for Ed Walsh will be done. Rob inquired about sunscreen dispensers. Caroline had previously looked into this and it is not recommended by the insurance company. Rob asked Drew to request a SOC 2 report from the cloud based company hosting member registration in anticipation of the audit security review. Swim Team Parents’ Report Sherry had nothing to report. The first Parent Board meeting of the season will be held in March. Correspondence –None Old/New Business Rob noted that he will launch the new Endowment Committee shortly and will contact the Board members who previously volunteered for this group. Adjournment - at 7:45 pm, the meeting was adjourned to Executive Session to discuss Personnel. The meeting will not reconvene as there is not an expected motion following Executive Session. Alan made a motion to adjourn, Amy seconded the motion and the meeting of the Fanny Chapman Pool Board of Managers was adjourned at 7:45 pm. Respectfully submitted, Lori Howard
