City of Dripping Springs Farmers Market Association Board Meeting Minutes Tuesday, October 11, 2016 at 10:00 AM City Hall, 511 Mercer Street, Dripping Springs, Texas I. CALL TO ORDER AND ROLL CALL COMMISSION: Gouri Johannsen - Chair Marianne Simmons Aimee Mick Diana Black Teresa Strube Charissa Giles Claudia Oney Gary Gilstrap Market Managers: Laurel Robertson The Regular Meeting of the City of Dripping Springs Farmers Market Association Board was called to order at 10:07 AM, Tuesday October 11, 2016 by Gouri Johannsen. Roll call was taken and members present included, Gouri Johannsen - Chair, Marianne Simmons, Claudia Oney, Teresa Strube, Diana Black, Charissa Giles and Aimee Mick serving as secretary. Gary Gilstrap was absent. II. PRESENTATION BY CITIZENS Floor open to discussion on any subject. No action may be taken by law. Citizens wishing to speak shall do so after being recognized by the Chair. The Chair may establish a time limit on each citizen wishing to speak. There were no presentations by citizens. III. MINUTES A. Approval of Regular Meeting Minutes, September 13, 2016 A motion was made by Marianne and seconded by Teresa Strube to approve the Regular meeting minutes from August 9, 2016, with the following amendment. Meeting Minutes identified in the title, Gary Gilstrap name spelled correctly through out, item I., under market managers report correct grammar from Diana Black were absent to Diana Black was absent. Item VI.B. should say the Belterra Newsletter was approved for purchase VOTE: 7-0 in favor, motion passes. IV. REPORTS A. Farmers Market Manager's Monthly Report Report from the Market Manager to the Board regarding Farmers Market activities. B. Fiscal Year 2016 Income Statement A note was made that the budget posted to the Board Book does not reflect proposed amendment which was submitted for approval and in addition the Board would like to see the 2017 proposed budget included in the Board Book. V. MARKETING AND PUBLIC RELATIONS SUBCOMMITTEE Discussion and possible action regarding: A. Marketing and Public Relations Committee Report 500 Rack Cards will be ordered and distributed to businesses around town. An article written by Gouri Johannsen, about the Farmers market, will be published in the High Point neighborhood newsletter. B. Market Events Planning and Updates Holiday vendors will be invited to participate in the market from 11/1/16 – 12/21/16. Page 1 of 2  C. Farmers Market Activities and Editorial Calendar The City is updating their website, which will change how the Farmers Market pages are viewed. VI. SPONSORSHIPS SUBCOMMITTEE Discussion and possible action regarding: A. Sponsorships Subcommittee Report B. Discussion Regarding Increasing Sponsorship Activity A Subcommittee will be formed in the future and will cross activities with Public Relations Subcommittee. VII. RULES AND REGULATIONS SUBCOMMITTEE Discussion and possible action regarding: A. Dripping Springs Farmers Market Rules and Regulations Update VIII. OTHER BUSINESS Discussion and possible action regarding: A. New Vendor Applications 1. Artisan House Kitchen and Bakery This vendor will be approved by the Market Manager. B. Pending Vendor Inspections The Market Manager will send out the forms and will submit pending inspections monthly. C. Annual Appointment of Farmers Market Association Board Vice Chair and Secretary A motion was made by Claudia Oney and seconded by Gouri Johannsen to approve Marianne as Vice Chair and Aimee Mick as Secretary. VOTE: 7-0 in favor, motion passes. D. Farmers Market Association Board Subcommittee Assignments E. Market Layout and Safety Issues Including but not Limited to: Revision to Market Entry, Shifting Accessible Parking Spaces and Designation, Expanding Parking Area in Front of Market to Improve Safety, Vendor Layout for the Holiday Markets, and Vendor Parking The layout of the market will be changed to include the entry way being more accessible, an information booth space, disabled parking being more safe, and add more vendor spaces. Date of changes will be made no later than the first market in November. F. Discussion Regarding the Sale of Hays County Master Gardeners Cookbook for a Fundraiser at Farmers Market A motion was made by Marianne Simmons and seconded by Gouri Johannsen pursuant to the General Rules, V.A.,7.b., to allow the Master Gardner’s to sell their newly published cookbook as a fundraiser for themselves. VOTE: 7-0 in favor, motion passes. The Fundraiser “Seed to Table” Cookbooks will be sold in October. IX. ANNOUNCEMENTS A. Regular City Council Meeting, October 11, 2016 at 7:00pm B. Regular Parks and Recreation Commission Meeting, October 17, 2016 at 6:00pm C. Regular Farmers Market Association Board Meeting, November 8, 2016 at 10:00am X.
