City of Dripping Springs Farmers Market Association Board Meeting Agenda MINUTES Tuesday, December 13, 2016 at 10:00 AM City Hall, 511 Mercer Street, Dripping Springs, Texas I. CALL TO ORDER AND ROLL CALL COMMISSION: Gouri Johannsen - Chair Marianne Simmons-Vice Chair Aimee Mick-Secretary Diana Black Teresa Strube Charissa Giles Claudia Oney Gary Gilstrap Market Manager: Laurel Robertson The Regular Meeting of the City of Dripping Springs Farmers Market Association Board was called to order at 10:10AM, Tuesday December 13, 2016 by Gouri Johannsen. Roll call was taken and members present included, Gouri Johannsen - Chair, Marianne Simmons, Claudia Oney, Teresa Strube, Diana Black, Charissa Giles and Aimee Mick serving as secretary. Gary Gilstrap was absent. Laurel Robertson, Market Manager was also in attendance II. PRESENTATION BY CITIZENS Floor open to discussion on any subject. No action may be taken by law. Citizens wishing to speak shall do so after being recognized by the Chair. The Chair may establish a time limit on each citizen wishing to speak. None III. MINUTES A. Approval of Regular Meeting Minutes, November 8, 2016 A motion was made by Marianne Simmons and seconded by Diana Black to approve the Regular meeting minutes from October 11, 2016, with the following amendments. Item VIII. OTHER BUSINESS B. Correct the spelling of Begonia Bagels and Teresa Strube VOTE: 7-0 in favor, motion passes. IV REPORTS A. Farmers Market Manager's Monthly Report - Laurel Robertson Report from the Market Manager to the Board regarding Farmers Market activities. Laurel was asked to add the number of vendors to the report. B. Fiscal Year 2017 Income Statement Monthly Report - Gina Gillis V. MARKETING AND PUBLIC RELATIONS Discussion and possible action regarding: A. Marketing and Public Relations Committee Report- Marianne Simmons List of subdivision and businesses will be reviewed by the sponsorship committee in January and possible assignments made for contact. B. Market Events Planning and Updates - Marianne Simmons None VI. MARKET EVENTS PLANNING AND UPDATES Discussion and possible action regarding: A. Triangle Lighting Update - Marianne Simmons Waiting on final approval from City. B. Triangle Parking Issues Discussion of several solutions to help with parking issues. Some will be able to be implemented tomorrow and some will need further discussion and City agreement. C. Market Layout Issues and Tent Purchase Request JBG and Gray Gardens will be limited to one tent. A motion was made by Marianne Simmons and seconded by Claudia Oney to approve purchasing a tent for up to $200.00 VOTE: 7-0 in favor, motion passes D. Information Booth New signs will be purchased. VII. SPONSORSHIPS SUBCOMMITTEE Discussion and possible action regarding: A. Increasing Sponsorship Activity and Potentially Forming a Special Subcommittee - Gouri Johannsen Tabled until January. VIII. RULES AND REGULATIONS SUBCOMMITTEE Discussion and possible action regarding: A. Update on the Dripping Springs Farmers Market Rules and Regulations Revisions - Marianne Simmons IX. OTHER BUSINESS Discussion and possible action regarding: A. New Vendor Applications - Laurel Robertson Laurel will provide application to new vendors. B. Vendors Needing Inspections - Laurel Robertson Inspections are ongoing C. Rescheduling of all 2017 Regular Meeting Dates for the Dripping Springs Farmers Board in order to minimize conflict with City Council Meetings - Laurel Robertson A motion was made by Aimee Mick and seconded by Claudia Oney to approve changing our meetings to the 3rd Thursday of each month, starting with the January Meeting (January 19th, 2017 at 10:00AM) VOTE: 7-0 in favor, motion passes D. Dripping Springs Farmers Market Volunteer Program Tabled E. Market Relocation for safer access to larger parking area and for future growth - Charissa Giles Discussion is to be continued. 1. Staff Report: I. Provide a larger parking area available for vendors and market patrons. II. Provide safe access to and from the market from the parking area. III. Accommodate future market growth F.
