City of Dripping Springs Farmers Market Association Board Meeting Minutes Tuesday, September 19, 2017 at 10:00 AM City Hall, 511 Mercer Street, Dripping Springs, Texas I. CALL TO ORDER AND ROLL CALL COMMISSION: Gouri Johannsen - Chair Claudia Oney Lori Broughton Marianne Simmons - Vice Chair Charissa Giles Vacant Vacant - Secretary Teresa Strube Vacant Market Manager: Laurel Robertson Chair Gouri Johannsen called the meeting to order at 10:08am and conducted a roll call. Board members present: Gouri Johannsen, Marianne Simmons, Lori Broughton, Charissa Giles and Claudia Oney. Teresa Strube was absent. II. PRESENTATION BY CITIZENS Floor open to discussion on any subject. No action may be taken by law. Citizens wishing to speak shall do so after being recognized by the Chair. The Chair may establish a time limit on each citizen wishing to speak. Linda Notti, a DSFM customer, was present at the invitation of Marianne Simmons and Gouri Johannsen to meet the Board and attend the meeting before she decides to join the Board as a member. Trisha Rainy, of The Drip Nurse, made a presentation of her business to the Board. She is wishing to apply to become a vendor at the Market. The Drip Nurse provides injectable Vitamins, B12 injections, etc. III. REPORTS A. Farmers Market Manager's Monthly Report Report was reviewed by the Board. B. Fiscal Year 2017 Income Statement Monthly Report Income Statements ending for July 31st and Aug 31st were reviewed. Gouri Johannsen will contact City Treasurer to ask about the Gifts Expense and to request the Tomato Roundup ledger report. IV. MARKETING AND PUBLIC RELATIONS Discussion and possible action regarding: A. Marketing and Public Relations Committee Report Marianne Simmons presented report from the latest Marketing and Public Relations Committee’s 3-hour long meeting. Action items taken on the website and social Media updates, print advertising plan, were discussed. Need for volunteers at the Welcome Booth was also discussed. Marianne Simmons will contact the Empty Bowls Project to inform them of DSFM’s participation in their Oct 29th event. B. Marketing and Advertising Expense Lori Broughton motioned to approve the marketing expense of $450 to purchase 2 highway banners, 1000 Rack Cards and a Special Event roadside sign. C. Marketing Website Updates Laurel Robertson is working with Bonnie Gongalez to update the Website, which were identified by the Marketing Subcommittee. D. Market Vendor Membership Report Laurel Robertson sent out couple of emails to request vendors about their commitment to attend the Fall Market to gauge the space availability for Holiday Market. She will work with Bonnie Gongalez to send out a press release to invite arts and crafts vendors to participate in the upcoming Holiday Market. V. Advertising budget update and priorities Already discussed this item under Marketing report. VI. MARKET VENUE Discussion and possible action regarding: A. Update on the Complaints Form Marianne Simmons presented the updated Guidelines for Handling Problematic Events. She will work with Lori Broughton to create a General Complaints Form to be used at the Market. B. Storage Bin at Triangle Update Laurel Robertson will talk to the Water Supply Corp to request space to put the storage bin. She will send the storage bin requirements to Gouri Johannsen, who will do the research and purchase the bin. VII. SPONSORSHIPS SUBCOMMITTEE Discussion and possible action regarding: A. Increasing Sponsorship Activity Charissa Giles will followup with Mike Ryan and his wife, who showed interest in sponsoring the Market. VIII. RULES AND REGULATIONS SUBCOMMITTEE Discussion and possible action regarding: A. Dripping Springs Farmers Market Rules and Regulations Revisions Update Lori Broughton, Claudia Oney and Gouri Johannsen will form a subcommittee to streamline Market Rules and Regulations for the 2018 season. IX. OTHER BUSINESS Consideration and possible action regarding: A. Approval of minutes from the June 15, July 20, and August 17, 2017 meetings. Marianne Simmons motioned to approve minutes from the June 15th meeting. Lori Broughton seconded. VOTE: all in favor, motion passed. Gouri Johannsen moved to approve July 20th meeting minutes. Marianne Simmons seconded. VOTE: all in favor, motion passed. Marianne Simmons motioned to approve minutes from the August 17th meeting. Lori Broughton seconded. VOTE: all in favor, motion passed. B. New Vendor Applications 1. Nature's Beauty Secrets Lori Broughton moved to approve Nature’s Beauty Secrets as a vendor to the Market, Marianne Simmons seconded it. VOTE: all in favor, motion passed. 2. Texas Beer Bus Tours Marianne Simmons moved to approve Texas Beer Bus Tours as a Special Event Participant for the month of October. Claudia seconded. VOTE: all in favor, motion passed. C. Approval of Teresa Strube as Board Secretary Marianne moved to approve Teresa Strube as Board Secretary, Lori Broughton seconded. All were in favor, motion passed. X. ANNOUNCEMENTS A. Farmer's Market Association Board Meeting, October 19, 2017 at 10:00 a.m. B. Regular City Council Meeting, September 19, 2017 at 6:00 p.m. XI. ADJOURN Marianne moved to adjourn the meeting at 12:17pm, Claudia Oney seconded. VOTE: all in favor, motion passed.
