Farmers Market Association Board Meeting Agenda

I. CALL TO ORDER AND ROLL CALL
COMMISSION:
Gouri Johannsen - Chair Claudia Oney Lori Broughton
Marianne Simmons - Vice Chair Charissa Giles Vacant
Teresa Strube - Secretary Vacant
Market Manager: Laurel Robertson
Chair Gouri Johannsen called the meeting to order at 10:15 and conducted roll call. Lori was absent.
Board members present: Gouri Johannsen, Marianne Simmons, Charissa Giles, Claudia Oney, and Teresa
Strube.
II. PRESENTATION BY CITIZENS
Floor open to discussion on any subject. No action may be taken by law. Citizens wishing to speak shall do so
after being recognized by the Chair. The Chair may establish a time limit on each citizen wishing to speak.
No speakers were present.
III. MINUTES
Discuss and consider approval of:
A. Minutes of the regular meeting of the Farmers Market Board on September 19, 2017
Minutes from September 19, 2017 meeting were reviewed; Marianne moved to approve minutes; Claudia
seconded; VOTE: all in favor, motion passed.
IV. REPORTS
A. Farmers Market Manager's Monthly Report - Laurel Robertson
Manager’s report was reviewed.
B. Fiscal Year 2017 Income Statement Monthly Report
Income Statement was reviewed; discussion about need for end-of-year numbers on report. Gouri will ask for
data.
V. MARKETING AND PUBLIC RELATIONS
Discussion and possible action regarding:
A. Marketing and Public Relations Committee Report - Marianne Simmons
Marianne reviewed marketing committee activities and decisions.
Marianne reported on her presentation to Caliterra HOA members.
Gouri Marianne presented idea of providing “thank-you gift” to City, Chamber and Visitors Bureau employees
and volunteers. Costs and values were discussed. Gouri Marianne motioned for project to move forward;
Claudia Gouri seconded; VOTE: all in favor, motion passed.
B. Marketing and Advertising Expense - Marianne Simmons
Marianne introduced outreach ideas to better elevate market presence.
Discussion re making soup for Empty Bowl; Charissa participating. Laurel will make flyers that will be
available to attendees at minimal cost.
C. Marketing Website Updates - Laurel Robertson
Discussion re Facebook, City regulations, sharing, developing presence on Instagram, coordinating with DeNae
on logistics of posting pics.
VI. MARKET VENUE
Discussion and possible action regarding:
A. Update on the Complaints/Incident Form - Marianne Simmons, Laurel Robertson
Incident form accepted with noted changes, will then be sent to Michelle for acceptance.
B. Storage Bin at Triangle update - Laurel Robertson, Gouri Johannsen
Discussion re storage bin, design, location. Search continues for the right container and location.
VII. SPONSORSHIPS SUBCOMMITTEE
Discussion and possible action regarding:
A. Sponsorship Activity
Charissa reported on interested sponsor for market and Tomato Roundup.
B. Sponsorship Appreciation Sign at Market
Marianne reported on sponsorship appreciation and future events signs.
VIII. RULES AND REGULATIONS SUBCOMMITTEE
Discussion and possible action regarding:
A. Dripping Springs Farmers Market Rules and Regulations Revisions Update - Gouri Johannsen, Lori
Broughton
Gouri reported on meeting w/Lori. Discussed strategy for simplifying 20+ page document and considering the
shorter document the standard to provide vendors, with the longer document considered an optional source of
details; goal is to complete revision by February, 2018.
IX. OTHER BUSINESS
Consideration and possible action regarding:
A. New Vendor Applications
1. The Drip Nurse
Discussed and evaluated new vendor. Teresa moved to accept Drip Nurse without food items listed on
application; Claudia seconded; VOTE: motion passed with one negative vote.
Claudia left at noon.
B. Vendor Inspection Process and Progress - Laurel Robertson
Discussion re inspections/timeliness/responsibility of board members to perform. Members selected vendors to
inspect. Discussion re Laurel performing inspections and how that could work. Tabled. Marianne and Teresa
to meet and make recommendations.
C. Solicitation at Market by Non-Vendors - Laurel Robertson
Discussion re solicitation; reviewed membership requirement and parameters for selling and/or soliciting
business.
D. Increasing Vendor Retention - Laurel Robertson
Discussion; tabled.
X. ANNOUNCEMENTS
A. Regular City Council Meeting November 14, 2017, 5:30 PM Workshop/6:30 PM Regular Session
Regular City Council Meeting November 21, 2017, 6:00 PM
B. Farmer's Market Board Meeting November 16, 2017, at 10:00 AM

Teresa moved to adjourn at 12:40; Marianne seconded; VOTE: all in favor, motion passed.
