Minutes of Farmers Market Meeting The Board of Trustees City of Dripping Springs A Farmers Market Meeting of the Board of Trustees of City of Dripping Springs was held Thursday, April 19, 2018, beginning at 10:00 AM in the City Hall, 511 Mercer Street, Dripping Springs, Texas. I. CALL TO ORDER AND ROLL CALL COMMISSION: Gouri Johannsen - Chair Claudia Oney Lori Broughton Marianne Simmons - Vice Chair Charissa Giles Teresa Strube - Secretary Sara Gates Vacant Market Manager: Laurel Robertson Chair Gouri Johannsen called the meeting to order at 10:05 and conducted roll call. Board members present: Gouri Johannsen, Marianne Simmons, Claudia Oney, Lori Broughton, Charissa Giles, Sara Gates, and Teresa Strube. Market Manager Laurel Robertson was also present. Jerry Rivers, vendor and musician, attended meeting as guest. II. PRESENTATION BY CITIZENS Floor open to discussion on any subject. No action may be taken by law. Citizens wishing to speak shall do so after being recognized by the Chair. The Chair may establish a time limit on each citizen wishing to speak. III. MINUTES Discuss and Consider Approval of: A. Approval of the Farmers Market Association Board Regular Meeting Minutes of the February 15, 2018 Marianne moved to approve minutes; Gouri seconded; VOTE: all in favor, motion passed. January 18, 2018 minutes not included in agenda for approval. IV. REPORTS A. Parks & Community Services Report Data reviewed for Farmers Market B. Farmer's Market Manager's Monthly Report - Laurel Robertson Tabled C. Fiscal Year 2018 Income Statement Monthly Report - Month Ending March 2018 Tabled, as no report was provided. V. MARKETING AND PUBLIC RELATIONS Discussion and possible action regarding: A. Marketing and Public Relations Committee Report - Marianne Simmons 1. Tomato Round-Up Update Discussion rethinking event split into three markets. Initial ideas reviewed. 2. Market Manager Vest Discussion re identifying vest for manager and market volunteers. Marianne motioned to acquire two vests for $80 each; Gouri seconded; VOTE: all in favor, motion passed. 3. Special Events Signs Marianne reported two new signs ordered. B. FMC Farmers Market Metrics Update - Lori Broughton Update on Farmers Market Coalition. No action taken. Lori will stay informed and report. C. Marketing Requests from Vendor Orientation - Instagram, FB Market Event Discussed vendor suggestions presented to Board at orientation. Plan determined to gather more input from vendors at Market. D. Regular Infomercial DS Outlook Magazine - Laurel Robertso Marianne moved to create and schedule an advertorial for the Outlook. VI. MARKET VENUE Discussion and possible action regarding: A. Dripping Springs Ranch Park Request to Borrow Tents FM will lend tents to Ranch Park for upcoming event. B. TIRZ Board Meeting Report - Lori Broughton Discussed information Lori shared. C. Carrot Sculpture Installation - Marianne Simmons and Mariana Espinoza Discussed marketing ideas using carrot sculpture. VII. SPONSORSHIPS AND GRANTS SUBCOMMITTEE Discussion and possible action regarding: A. Sponsorship Activity $500 year-long sponsor announced, Premier Family Physicians. B. Grants Activity 1. Capital Farm Credit $1000 Grant Application Update Grant was awarded to Market. C. USDA's Farmer's Market and Local Food Promotion Program (FMLFPP) Grant Webinars Discussed possibilities and challenges of pursuing this grant. Consider next year’s grant a reasonable goal. VIII RULES AND REGULATIONS SUBCOMMITTEE . Discussion and possible action regarding: A. Rules and Regulation Activity No activity to report. IX. OTHER BUSINESS Consideration and possible action regarding: A. New Vendor Applications 1. Epic Fun Teresa moved to deny application for lack of alignment with Mission Statement; Sara seconded; VOTE: all in favor, motion passed. 2. Valley Sky Jewelry Claudia moved to approve application; Lori seconded; VOTE: all in favor, motion passed. 3. Pizza 2 The People Lori moved to approve application pending receipt of food facility permit; Claudia seconded; VOTE: all in favor, motion passed. B. Vendor Lists 2017 & 2018 Discussed vendor list and plan for getting inspections done. C. Vendor List for Metrics- Marianne Simmons Tabled. D. Discussion regarding Fiscal Year 2018-2019 Budget Requests Tabled. X. ANNOUNCEMENTS A. May 8, 2018 - Regular City Council Meeting, 5:30 PM Workshop/6:30 PM Regular Session B. May 15, 2018 - Regular City Council Meeting, 6:00 PM C. May 17, 2018 - Regular Farmers Market Association Board Meeting, 10:00 AM XI. ADJOURN Marianne moved to adjourn at 12:15; Gouri seconded; VOTE: all in favor, motion passed.
