City of Dripping Springs Farmers Market Association Board Meeting Minutes Thursday, July 19, 2018 at 10:00 AM City Hall, 511 Mercer Street, Dripping Springs, Texas I. CALL TO ORDER AND ROLL CALL COMMISSION: Gouri Johannsen - Chair Claudia Oney Vacant Marianne Simmons - Vice Chair Sara Gates Teresa Strube - Secretary Kyle Koen CITY STAFF: Market Manager - Laurel Robertson Parks Director - Mariana Espinosa Chair Gouri Johannsen called the meeting to order at 10:04 and conducted roll call. Board members present: Gouri Johannsen, Marianne Simmons, Claudia Oney, Sara Gates, Kyle Koen, and Teresa Strube. Laurel Robertson and Mariana Espinosa were also present. II. PRESENTATION BY CITIZENS Floor open to discussion on any subject. No action may be taken by law. Citizens wishing to speak shall do so after being recognized by the Chair. The Chair may establish a time limit on each citizen wishing to speak. No guests present. III. MINUTES Approval of the Minutes of the Meeting dated: 6-21-18; Marianne moved to approve; Sara seconded; VOTE: all in favor, motion passed. IV. REPORTS A. Parks and Community Services Report - Mariana Espinosa Reviewed report. B. Farmers Market Manager's Monthly Report - Laurel Robertson Reviewed report. Discussion re logistics and collaboration w Headwaters market, and email marketing tool - Constant Contact. C. Fiscal Year 2018 Income Statement Monthly Report for month ending June 2018. Tabled; data is inaccurate. V. MARKETING AND PUBLIC RELATIONS Discussion and possible action regarding: A. Marketing and Public Relations Committee Report - Marianne Simmons 1. Tomato Time! Report - Laurel Robertson (Both weeks) $266 in token sales, 30 entries. Next year it was agreed that the event should be for only one market day instead of splitting it into two. 2. Carrot Sculpture update - Mariana Tabled. B. Social Media Update - Instagram, FB Market Event Discussion re social media plan. Mariana, with help from Laurel, will poll vendors and customers about their social media preferences. Mariana will use this poll data to discuss further with Bonnie. C. Dripping Springs Outlook Advertorial Update - Laurel Robertson Laurel submitted article about national farmers market month. She will write more articles for publication contract. D. New Banners - Laurel Robertson Marianne will order a new market banner E. American Farmland Trust Farmers Market Celebration Update - Mariana Espinosa Mariana encouraged more votes for “Best Farmers Market” competition. F. Monthly Markets Event Planning - Teresa Strube Ideas re drawing new customers into market. Need help from young mothers for kid activities at market. G. Market Metrics - Gouri Johannsen Local market coalition source for data and its usage. No cost to DSFM first year. Working w Sara to create plan to move forward on project w intent, and will report next mtg. VI. MARKET VENUE Discussion and possible action regarding: A. Recommendation of Hays County CERT Rehab Truck at Market - Laurel Robertson CERT may have a trial run and see what response is and how the event plays out. B. TIRZ Board Meeting Report No FM rep at last TIRZ meeting; Marianne and Gouri will try to attend when informed of mtg. VII. SPONSORSHIPS AND GRANTS SUBCOMMITTEE Discussion and possible action regarding: A. Sponsorship Activity Gouri will combine all sponsorship forms into one. B. Grants Activity No activity VIII. RULES AND REGULATIONS SUBCOMMITTEE Discussion and possible action regarding: A. Rules and Regulations Activity Tabled IX. OTHER BUSINESS Consideration and possible action regarding: A. New Vendor Applications - Laurel Robertson 1. Herbologia Application needs more information regarding jewelry she wants to sell, in addition to the skin care products originally on the app. 2. This Old Wood Withdrew application. Laurel will send them sponsor form. B. Vendor List for Inspection Scheduling - Laurel Robertson Discussion re inspections that need to be done asap. C. Board Appointments - Gouri Johannsen Discussion re Marketing committee and Board vacancies X. ANNOUNCEMENTS A. Regular City Council Meeting, August 14, 2018, 5:30 pm workshop/6:30 pm regular session B. Regular City Council Meeting, August 21, 2018, 6:00 pm C. Regular Farmers Market Board Meeting, August 16, 10:00 am XI. ADJOURN Marianne motioned to adjourn at 12:16; Gouri seconded; VOTE: all in favor, motion passed.
