CALL MEETING TO ORDER B. ROLL CALL Present: 6 - Cynthia Franzmann, Eric Miller, Andy Piccolantonio, Jan Ross, Ken Shepherd and Sarah Mill C. APPROVAL OF MINUTES A motion was made by Shepherd; seconded by Mill to approve the minutes from the January 4, 2017 meeting. ADDITIONS OR CORRECTIONS TO THE AGENDA Nothing at this time E. HEARING OF VISITORS None F. OLD BUSINESS None G. NEW BUSINESS a. Field Use Agreement and Policy - DRAFT Barr stated the current policy is over 10 years old and in need of City of Gahanna Page 1 Parks & Recreation Board Meeting Minutes February 1, 2017 updating. Zac Guthrie, Recreation Supervisor shared the Athletic Field Use Agreement and Policy Draft, Affiliate Agreement and Sports Tournament Application with the Board. The Athletic Field Use Agreement and Policy is currently under review by the City Attorney. The Board has been asked to review the documents and e-mail or call with any comments, questions or concerns to Zac or Jeff. Once the agreements and policy has been approved by the City Attorney and the Mayor, it will be brought back to the Board for a recommendation. H. CORRESPONDENCE AND ACTIONS None I. DIRECTOR'S REPORT Barr shared that the VFW purchase of land continues to be negotiated. Recreation Superintendent position is posted. The Deputy Director position will be posted soon and the open position at the front desk will be posted. Rec Trac migration is completed; training continues. The Facilities Coordinator position has been filled.Seasonal positions are posted and hiring is underway. 2017-0032 Director's Report 1-4-17 J. COMMITTEE REPORT'S a. Aquatics Advisory Committee (AAC) Nothing at this time b. Bicycle & Trail Advisory Committee (BTAC) Barr shared that BTAC will meet everyother month due to Big Walnut Trail Dection 4 design phase underway. The Committee is planning on several bike rides with the community. The dates will be on the City website. The committee also reviewed the West side insection and attended the public meeting. Information is on the City website. c. Gahanna Active Senior Advisory Council (ASAC) Franzmann shared that she attended the last meeting. The committee continue with the membership drive. A representative from the Columbus Foundation spoke about Planned Giving. d. Natural Resources Advisory Committee (NRAC) e. Veteran's Advisory Committee Nothing at this time K. POLL MEMBERS FOR COMMENT a. Gahanna Parks & Recreation Foundation (GPRF) Ross shared that the Foundation is having the first planning meeting for the 2017 Hops & Vines fundraiser. Officers were elected. The Foundation is having a planning session at the February meeting. b. School Board Report Piccolantonio shared that the Gahanna education Foundation is having their annual fundraiser on March 11th at the Hilton Easton. The School Board has appointed Jennifer Chrysler to the Parks Board. L. ADJOURNMENT There being no further business of the Board; the meeting adjourned at 8:28pm.
