Fourth of July Committee

CITY OF GLENDALE January 15, 2019, 6:30 pm 2018 4th of July Committee Maslowski Park 2200 W. Bender Rd. Mike Morris of Glendale P.D. The meeting was called to order with the Pledge of Allegiance and introductions. The committee approved the minutes of the November 7th Glendale Fourth-of-July Committee meeting. Budget: The 2019 proposed budget was reviewed. The budget reflects what we believe we brought in and spent during 2018. This assumption has not been officially confirmed because we are waiting for final 2018 income and expense numbers from Shawn. Ann Dueser asked if we have any outstanding debts. Tom and Mary Lynn asked if we have outstanding invoices. Jessica said she’d look into this. Tom suggested that $13,000 is about as high as we should go for projected booklet income. Jenna mentioned that Steve Schmelzling suggested that 4th of July have a page on the Welcome to Glendale site, maybe with sponsors’ logos. Tom suggested adding a big banner across Green Bay Ave thanking our sponsors. Ann suggested we allow sponsors to walk a banner through the parade. Jenna will set up a meeting regarding ways to recognize sponsors. Marty suggested a separate hospitality area for sponsors, but we were reminded of the parade seating that wasn’t used last year. Sarah said that the nighttime band sound and lights should be $3,250, so we’ll adjust the budget to reflect this projected expense. Mary Lynn and Tom said that we can’t approve a budget during this meeting because so much is based on guesses. Jenna said we’d keep this budget as a draft for now. Entertainment: Sarah said that it would be great to have the “Kids Boogie Down” on the grass. She said that Five Card Studs are less lights-oriented and have less technical equipment. Marty suggested that the Kid Boogie Down DJ could be the Talent Show MC. Jenna was very excited when Lon said they would “fill the park with bubbles.” Sarah will follow up with Kids Boogie Down and other entertainment. Meeting Dates/Times: Jenna brought up the possibility that the meeting start earlier as city employees stay until the meeting. Ann and Jessica said it’s no big deal. No changes were made to the 6:30 pm start time or the dates. Future meeting dates: Tuesday, Feb. 19 Tuesday, March 12 (2nd Tuesday this month only ) Tuesday, April 16 Tuesday, May 21 Tuesday, June 4 (extra meeting) Tuesday, June 18 Wednesday, July 3 (setup) Thursday, July 4 Daytime Activities: Marty said we shouldn’t make any decisions about softball without Mario here. Marty said he knows someone whose kid was on a winning team, and the team was very sad that they weren’t playing this “showcase” game at last year’s 4th-of-July Celebration. Eric said that we tried to have both the megatent and softball, but they both couldn’t fit. There was talk of canceling the smaller, north tent and pivoting the megatent clockwise so that it was parallel to the parking lot and moving the kids’ games and activities north. There was talk of how bingo goes in the smaller tent, so that would have to be cancelled or moved to the megatent, but then there can’t be other loud things under the same tent. Jenna said that in the past the now- smaller tent was more kid-oriented and the other tent was more adult-oriented. Ann Dueser asked Marty if we could have the showcase softball game at the rootbeer bash on the new field. Marty said that’s not his call. Ann said she would look into this. Jenna said that because Sarah needs to book bands now, we should try to decide on the one-tent versus two-tent options. Ann Markuson said she thinks we should get rid of the smaller tent, rotate the megatent, move the kids’ games north, and have the softball game. The mega tent would then house the Mayor’s address, Talent Show, DJ, Bingo, and 5 Card Studs (and the balloon artist would be wandering, not on stage). Tom said the 2-tent option helped hold people there longer because of the variety of acts. There was also talk about whether the Sprecher truck would be there and whether we can get people to staff it. Ann Dueser mentioned that no one (except us) stays all day. They come for the thing that interests them. Maybe we shouldn’t be trying to keep people there the whole time. As the discussion went on, more and more people sounded like they lean toward eliminating the smaller, north tent. Ann Dueser moved that we eliminate the smaller, north tent, rotate the megatent clockwise so that it’s parallel to the parking lot, shift the kids’ games and activities to the north, and have the showcase softball game on southwest diamond. Sarah seconded. Motion passed with 7 yes votes, two absentions and one no vote. Booklet: Jenna asked the main fundraisers if they wanted any changes to the booklet ad prices. They said no. No one else wanted changes. Prices will stay the same. Committee roles: Eric had nothing on grounds. Sarah has a contract and W9 for the 5 Card Studs for Jessica. Ann Deuser asked Sarah to have the band send us digital logos, photos, etc. so we can market them. Ann asked Lon for the same from her business. Jenna talked about all the tasks necessary in coordinating the talent show and the fact that we don’t have that person yet. Michelle Kornitz helped last year. Ann D. will ask her if she can do this again. Lon asked if she should bring their sound equipment to use for the talent show. Whomever is coordinating the talent show will let her know. Sgt. Morris said he’d use the same security/parking plan as last year. Kelly DeJong will be the officer at the booth during the afternoon. Ann said we can ask Silver Spring House to be a Lyft/Uber drop-off site again. Eric asked if the police garage would be available for bounce houses and golf carts. Sgt. Morris said probably not, but maybe the DPW garage. Marty said the guy he knows who does bounce houses would set up and take down. Eric said that would be ideal. Bobbie will talk to Bethanie about Sprecher truck etc. Jenna encouraged Marty and Bobbie to talk to Bethanie. Ann Markuson said that Bethanie still wants to help (mostly from home). Ann Markuson said that for Children’s Parade Amy Barlament will help set up the beginning. Goodie bags will happen. Marty said Scout’s corn roast is a go and scouts are delivering booklets again. Tom is going to help with fundraising and parade cars again and will bring proposed parade flags to the next meeting. Mary Lynn said we won’t be getting shirts for the committee this year, because everyone has one. We need to let her know about volunteer T-Shirts. Jessica is trying to get more music in the parade. Jessie Ritka will probably be back again. Brian Kramp from Fox 6 lives in Glendale and will probably be there. She’s trying to get the monocycle. Some old vehicles didn’t make the parade last year because of the heat. Jessica welcomes Tom’s new idea for bigger flags for parade staging. Jenna suggested parade people meeting ½ hour before the next committee meeting so some parade stuff can be finalized outside the committee meeting. Ann Dueser said the booklet will be a lot like last year’s booklet. Jenna suggested Marty invite the bouncy house person and Mario and that Jessica invite Paul, the fireworks guy to the next meeting. Jenna said that if anyone has PTO contacts, we should reach out to them. It was suggested that Steve Schmelzling has kids at Parkway. Lon also has kids at Parkway. Lon was welcomed to come back and participate in the 4th of July committee. The meeting was adjourned at 8:04 pm
