ADVISORY BOARD MEETING MEETING MINUTES Wednesday, April 6, 2016; 6:30 p.m. Members Present: Shawn O’Keefe, Robert Shuford Excused: Terrell Kingwood Absent: Willie Brown, Douglas Sessoms, Kelly Wilson Staff Present: Kellie Godfrey, Kevin Myers I. Welcome and call to order – Kevin Myers II. Review & Approval of March 2016 meeting minutes - Minutes were unable to be approved as quorum was not met. III. Old Business – no old business was reported IV. New Business a. Mr. O’Keefe is helping to recruit teen advisors for the board. b. Mr. O’Keefe has spoken with citizens who have voiced that community centers are not clean and the equipment is not well kept. c. There is concern about lack of continuation of programming money to continue initiatives after they are initially funded. d. Mr. Shuford showed old presentations in regards to Armistead Pointe and the aquatics center. He asked Kevin to give Danny Carroll, YMCA CEO, a call in an effort to partner with them instead of duplicating efforts. Definitely V. Parks, Recreation and Leisure Services – Kevin Myers a. The new Happenings brochure has printed and is being distributed. This will be the last time the Happenings is in this format. b. The department is researching new software programs in order to make things easier for all users, citizens and employees. c. April 28, 2016 is the James T. Wilson pier dedication at Buckroe Beach. d. April 16, 2016 is the International Children’s Festival. e. The special event permit process has changed. There are more steps involved in an effort to make the event run smoother. f. Athletics is working on a plan to get all youth sports organizations registered. The City is paying for back ground checks for all registered participants. Registering groups will assist with tracking field use and having a greater pool of volunteers. g. The department is currently going through a staffing audit in order to make sure that all staff is coming from the correct code. VI.
