BOARD OF PUBLIC WORKS AND SAFETY MINUTES May 14, 2024 Regular Session: The Board of Public Works and Safety met in regular session on Tuesday, May 7, 2024 at 9:00 a.m. in the Common Council Chambers. Members present were: Gary Henriott, Cindy Murray, Eric Rody and Amy Moulton. Absent: Ron Shriner Jacque Chosnek, City Attorney, was also present. President Henriott called the meeting to order. The Pledge of Allegiance was given to the flag of our Country. MINUTES Mrs. Murray moved for approval of the minutes from the May 7, 2024 regular meeting. Mrs. Moulton seconded. Passed. BID OPENING S. 4th Street Concrete Project This being the time set to open bids for the Board of Public Works and Safety for S. 4th Street Concrete Project the following bids were received and opened: Heartland Contractors Lafayette, Indiana Base Bid: $143,625.00 Dixon Construction Lafayette, Indiana Base Bid: $81,997.50 Mr. Rody moved to take the bids under advisement for further review. Mrs. Moulton seconded. Passed. NEW BUSINESS Engineering Recommendation for Award-3rd and 4th Street Conversion Concrete Scope Jeromy Grenard, Public Works Director, presented to the Board and recommended approval of a Recommendation for Award for the 3rd and 4th Street Conversion Concrete Scope. The apparent low bidder is C.A.S.E. Construction. The bid was determined to be complete along with the submission of the bid bond, Form 96 and company financials. Mr. Rody moved for approval. Mrs. Murray seconded. Passed. Board of Public Works and Safety May 14, 2024 Page 2 Contract-3rd and 4th Street Conversion Concrete Scope Mr. Grenard presented to the Board and recommended approval of a Contract for the 3rd and 4th Street Conversion Concrete Scope with C.A.S.E Construction in the amount of $378,561.50. The amount includes both the Base Bid and Alternate #1. Mr. Rody moved for approval. Mrs. Murray seconded. Passed. Notice to Proceed-3rd and 4th Street Conversion Concrete Scope Mr. Grenard presented to the Board and recommended approval of a Notice to Proceed for the 3 rd and 4th Street Conversion Concrete Scope. The project is set to start today. Mr. Grenard went over the details of the project. Mrs. Murray moved for approval. Mrs. Moulton seconded. Passed. Park Department Permission to Advertise-McCaw Park Improvements Phase 2-Trails and Pickleball Courts Jon Miner, Parks Department, presented to the Board and recommended approval of a Permission to Advertise for the McCaw Park Improvements Phase 2 for Trails and Pickleball Courts. The publications are set to run on May 17 and 24th, 2024 with the bid opening on June 11, 2024. Mr. Miner went over the details of the project. Mrs. Murray moved for approval. Mrs. Moulton seconded. Declaration of Surplus Property-Information Technology (Palmcorder) Mr. Payne presented to the Board and recommended approval of a Declaration of Surplus Property for Information Technology that includes: Make Model Serial Number Panasonic Palmcorder IQ PV-A386 H6WA10827 Mr. Payne stated that the surplus property includes 2 batteries, a carrying case, an RCA cable, 2 VHS-C tapes, one AC charger, and one AC power supply for the camera. Mr. Payne stated that this item will be sold on GovDeals.com. Mrs. Moulton moved for approval. Mrs. Murray seconded. Passed. CLAIMS Jeremy Diehl, Controller, presented to the Board approval of Claims in the amount of $542,676.73. President Henriott asked if there were any further questions and there were none. Mr. Rody moved for approval. Mrs. Moulton seconded. Passed. AANOUNCEMENTS Mrs. Murray announced that the Community Wide Clean Sweep event will be taking place this Saturday, May 18, 2024. Free Trash bags, recycle bags, gloves and t-shirts will be handed out from 9am-11:30am at the Green Shelter at Columbian Park near Tropicanoe Cove. Citizens may register with the City Clerk’s Office or come to Columbian Park on May 18, 2024.
