Minutes of the Meeting of the Kimberly-Little Chute Public Library Board March 19, 2013 The meeting was called to order at 4:32 p.m. by President Moes at the Gerard H. Van Hoof Library in Little Chute. PRESENT: Amanda Fletcher, Jim Hietpas, Jim Moes, Tamara Talsma, Marcia Trentlage, Rose Vander Velden, Lori Vanderloop. EXCUSED: Kris Graff. OTHERS PRESENT: Beth Carpenter, Barbara Fleming. MINUTES AND REPORTS Vander Velden moved, seconded by Fletcher, to approve the minutes of the February 19, 2013 meeting. Trentlage abstained. Motion carried. Trentlage moved, seconded by Hietpas, to approve the February 2013 invoices. Motion carried. The February financial and statistics reports were discussed. DIRECTOR’S REPORT The library’s new website went live on March 6th. Staff and patron comments have been very positive. Carpenter invited those present to share ideas for further development of the site. Staff evaluations continue this month. Carpenter mentioned changes in benefits use by library staff. Summer Student Brianna Hardginski will not be returning this summer, so her position will be filled. All position openings will now be managed via NeoGov through the Village of Kimberly. NeoGov should streamline the hiring process significantly once the wrinkles are ironed out. Carpenter attended an AAC meeting at OWLS on March 15th. Issues with Sierra, the integrated library system used for circulation and management of collections, were discussed. An update on adult programming was provided, including Fox Cities Reads, Fox Cities Book Festival, and the May 1st Thursday program on Yard Art. Planning for the adult summer reading program is underway. The annual Help for the Homeless drive is complete. Carpenter noted that most of the collections were received as donations not related to the Fines Amnesty offering. FOLKS held its annual meeting on March 7th. Officers for the coming year will be Marcia Trentlage as President, Barbara Wentzel as Vice President, Barbara Fleming as Secretary, and Jim Moes as Treasurer. Tamara Talsma was also recruited as a Director-at-Large. Carpenter continues work on the 2013 WLA Conference Planning Committee. Carpenter shared Ann Hardginski’s idea to have this year’s staff in-service training take place during the conference and to close the library for a day in order to send all staff to conference sessions in Green Bay. Carpenter would request support from the Joint Library Trust Fund to pay for staff registrations, meals, and mileage for the conference at a future date. There was consensus that this would be a positive staff learning activity, and President Moes encouraged Library Trustees to consider attending, as well. The library will be closed on Friday, March 29th, as are other Village offices. Carpenter reported her upcoming vacation time. YOUTH SERVICES REPORT Carpenter shared a Youth Services Report from Ann Hardginksi. Second grade students at Little Chute Elementary School and St. John’s were invited to the March 6 Dr. Seuss library program with story teller Bob Kann of Madison. Kann shared stories about Dr. Seuss’s life and was well-received by the kids. 155 people were in attendance. Sessions of baby story time and an after-school folktale series for school-aged kids are now complete. Baby story times had low attendance this time around, but were very appreciated by the families who came. Storytime sessions conclude this week. Angela Schneider has been conducting the last two weeks to get a taste of children’s programming and is doing a great job. Program attendance overall has been down a bit. Weather and illness have been major factors according to parents Hardginski has spoken with. Pooches and Pages continues to be a great success. An extra dog team was added to help accommodate all the eager readers in March. April 27th will be the last session for this school year. Donation letters were sent out to local businesses asking for support of the Summer Reading Program. Responses are beginning to arrive. We greatly appreciate the support of our community partners. 1000 Books Before Kindergarten kits containing puppets and 3 stories have been cataloged at OWLS and will soon be prepped for circulation. Programming will be provided during Spring Break, including Book Bingo, Rondini the Magician, and 2 movies. The big push to get ready for the Summer Reading Program will then begin. A parent commented on how much they enjoy finding new books on the bug each time they come to the library. Hardginski thanked Carpenter and the staff for all of their hard work cataloging and processing the new books for the bug display. OLD BUSINESS Carpenter provided an update on current activities related to the Brown County Library bill sent to Outagamie County. Discussion followed. Carpenter further reported that because the Brown County Library Board did not contest the library’s position that the service provided to Brown County residents should offset any bills Brown County Library might send for serving Outagamie County residents, and because Outagamie County considers Brown County Library’s bill paid in full by the service we’ve provided to Brown County residents, there is no longer any inequity that needs to be addressed by not serving Brown County residents at the Kimberly-Little Chute Public Library. Carpenter recommended reinstating service to Brown County residents at a date to be mutually agreed upon by the Appleton, Kaukauna, Kimberly-Little Chute and Seymour (Muehl) Public Libraries. Discussion followed. Trentlage moved, seconded by Vanderloop, to reinstate service to Brown County residents on a schedule that is mutually agreeable to the other three libraries and OWLS, in support of Outagamie County’s contention that service provided to Brown County residents by Outagamie County libraries is an offset to the bill submitted to Outagamie County by Brown County Library. Motion carried. Moes asked for approval of Fletcher, Vanderloop, and himself to be appointed to the library’s Personnel Committee. Vander Velden moved, seconded by Hietpas, to approve the appointments. Motion carried. NEW BUSINESS There was no new business to discuss. UPDATE FROM LIBRARY BOARD SCHOOL DISTRICT REPRESENTATIVES Fletcher shared an infographic about the Future of Libraries, as well as an article discussing “Transitions to Digital Media.” Much of her position at the Little Chute School District involves keeping up with devices and technology use by students as wifi is now available in school and devices are becoming more accepted. Fletcher also reported being a finalist for a chaperone position for a school trip to New York City. FOLKS representatives were invited to share updates on Friends of the Library activities. Fleming and Trentlage will be meeting soon to plan the transition to new officers and upcoming projects. ITEMS FOR FUTURE AGENDAS No items were offered for future agendas. Trentlage asked Carpenter to share an update on crossover lending and the library’s position as net borrower at a future meeting.
