CALL TO ORDER CONSENT ITEMS Approval of Minutes 1. Monday, May 21, 2012 Action: Approved as submitted (6-0-1, Wojtkowski absent). ***End of Consent Agenda*** PUBLIC COMMENTS None. INFORMATIONAL REPORTS & STAFF COMMENTS 2. Museum and Cultural Arts Division Activity Report - May 2012 Action: Report received. Museums, Cultural Arts and Archives Manager Copeland reported the Colton Hall structural preservation project began last week. The Gudny Campbell fabric and quilt exhibit has been extended to July 24; the City receives 25% of the sales proceeds. Community Services and Library Director Bui-Burton stated the month of May had an amazing array of events for staff. She and Manager Copeland commended staff for all their hard work. Commissioner Dias inquired about visitors statistics and if we are seeing more day trippers or are they staying overnight. Director Bui-Burton stated the City’s Transient Occupancy Tax (TOT) was up this year which indicates more people are spending the night. Manager Copeland reported that volunteers put in over 1,600 hours for Museums and Cultural Arts events and programs during the fiscal year. He said this is a great contribution from community members to provide the best museums and cultural arts.  Colton Hall Museum and Cultural Arts Commission Minutes Monday, June 25, 2012 Director Bui-Burton reported that the Marriott is open to discussion regarding serving wine at Alvarado Gallery exhibits, but that they would not be liable. Staff will work with the City Attorney on this issue. The Commission discussed concerns for attendance control, insuring no underage drinking, and monitoring how much any one person can drink. Commissioner Messenger suggested one ticket allows one glass of wine per person. Director Bui-Burton said staff will discuss this with the City’s Risk Manager and bring it back to the Commission for discussion. PUBLIC APPEARANCE New Business 3. Report on Museum and Cultural Arts Facilities and Programs Action: Report received. Museums, Cultural Arts and Archives Manager Copeland reviewed the outline of Museums and Cultural Arts facilities and programs along with the required documents defining or establishing each one. Community Services and Library Director Bui-Burton said this outline will define each program and then provide information for how we measure each program and then describe the impact of each program. Commissioner Messenger thanked staff and said this is a very comprehensive effort that will answer a lot of questions and makes it easier to understand. Commissioner Greenwald stated that in the Civic PBL agreement, it indicates that the building is not to be used for fundraising events unless its Steinbeck related and we have strictly adhered to that rule. 4. Receive Report of Proposed Items for Colton Hall Museum and Cultural Arts Commissioners Orientation and Training Program Action: Report received. Museums, Cultural Arts and Archives Manager Copeland stated this addresses Goal #2A of the Strategic Plan: Commissioners Orientation and Training Program. Commissioner Rodriguez volunteered to become lead member for this goal of training and orientation and met with Director Bui-Burton and Manager Copeland to outline necessary training components – Sexual Harassment Prevention, Ethics, the Brown Act, Tours of City Facilities, etc. Commissioner Rodriguez said the training required is outlined in the new Commissioner Handbook and is required training by the City Council. She noted this is a very comprehensive list and more suggested reading should be added, such as references to learn more about Monterey’s and California’s history. Community Services and Library Director Bui-Burton said staff will bring this back to Commission for full discussion and will also provide a PDF version of the new Commissioners Handbook. COMMISSIONER COMMENTS Commissioner Han provided feedback from a conversation with a staff member who had questions about the subcommittee and their work. Staff will follow up as needed. Manager Copeland will remind the Museum staff member on staff role and responsibility in communications about Commission matters and how these should be conveyed through appropriate channels for the Commission. She is happy to be here to attend the Commission meeting. The Alvarado Gallery Subcommittee should meet soon and the Music Subcommittee should meet to discuss funding for the next music series. Commissioner Rodriguez will contact Commissioner Wojtkowski about scheduling a Fundraising Subcommittee meeting. Commissioner Schneider thanked the Commissioners and staff for everything they’ve done. Commissioner Dias inquired what their 4th of July duties would be and said I’m so glad we’re doing something for the 4th of July. She thanked the Library for being a drop off location for school supplies. Commissioner Greenwald announced the exhibit of a wonderful new photography show, "In Sharp Focus: The Legacy of Monterey Photography" at the Monterey Museum of Art. The exhibit celebrates the work of the original F64 Group, which included Adams, Weston and others. He encouraged everyone to see this important exhibit.
