MONTPELIER RECREATION DEPARTMENT’S ADVISORY BOARD MEETING October 15, 2014 Attending Board Members: Buzz Surwillo, Andrea Talentino, Karlynn Koeneman Absent Board Members: Aubrey Boyles, Ena Backus, Tom Golonka (City Council), Susan Aldrich (School Board) Attending Rec. Department: Arne McMullen, Director, Jenny Bartlett, Program Director and Penny Dowen, Administrative Assistant Called to order 5:20 Public Presentation – John Hemmelgarn and Kate from Black River Design. John and Kate went over the 4 updated options for the ramp. Numbers came in much higher from the 1st time John came to discuss the project. Minutes from September 2014 were motioned to approve by Andrea and 2nd by Karlynn. FINANCIAL: Arne went over the financial reports with the Board. The Revenues are down by $4,000 but we did not receive the amount of day care subsidy that we have in the past couple of years. Since there was a meeting earlier in the week on the budget, there was not much discussion on financial. Motion to approve by Karlynn and 2nd by Andrea. OLD BUSINESS: ADA Options: The Advisory Board has agreed to table the ramp project for now due to the increased costs of the 2nd estimate and to start looking at some possible grants to help out with the funding of the project. River Bank/Buffers update: Arne and Rick met with Friends of the Winooski to discuss how we can help in reducing the Japanese Knot Weed along the banks of the river. There was discussion of planting new trees to start the retaining process. NEW BUSINESS: Outfield Laser Grading Proposal: The Mountaineers want to install a curtain drain in the outfield and have $18,000 to donate to the project. The Recreation Advisory Board agreed on capping our contribution to the project at $5,000. Capital Improvement Discussion: It was agreed upon that the 1st priority for capital improvements to the Recreation building would be the accessibility to the building. DIRECTOR REPORT: As of October 15th, our ½ time maintenance man we share with MSMS will be leaving the Maintenance Dept. to go back to MSMS. Our two seasonal staff will be done at the end of October or first week of November. Arne will invite the Mountaineers to our next Board Meeting to discuss finances. Andrea motioned to approve the Write Off’s and Karlynn 2nd. We are looking for Board members and other community members to volunteer for our biggest fundraiser of the year, the Ski and Skate Sale which will be held on Saturday, October 25th. PROGRAM DIRECTOR REPORT: Jenny went over the programs for which soccer is winding down and we had good numbers this year. We will be hosting a new event called Skating with Frosty in conjunction with the Civic Center, scheduled for 12/21 from 2-4pm, and the Spring Slam will be held May 16th and 17th at the Civic Center. Jenny met with the Senior Citizen Center to see how we could work together with programs. The Halloween Party will be on October 30th this year at the MHS cafeteria. Motion was made by Karlynn to adjourn the meeting at 7:30 p.m. and Andrea 2nd. THE NEXT ADVISORY BOARD MEETING WILL BE HELD ON WEDNESDAY, November 12th, 2014 @ 5:15 p.m.
