MINUTES Community Events Committee Meeting 5:30 PM - Thursday, March 13, 2025 Village Hall, 620 W. Main St., Newburg, Wisconsin CALL TO ORDER / ROLL CALL - Michelle Sadowski, Chairperson - Clerk Brandy Loveland Seelow - Trustee Paul Zimdars, Co-Chair - Deputy Clerk Heather Wellman - Trustee Brooke Stangel All members were present expect Trustee Stangel, who was excused, the meeting was called to order at 5:30pm. CORRECTION AND APPROVAL OF PAST MINUTES 1. Meeting Minutes Minutes were verbally approved by the committee with no corrections. NEW BUSINESS CHAIRPERSON Michelle Sadowski. Chairperson will lead updates on events and project. 2. Update Nothing was presented from the Committee Chair. EVENTS 3. Christmas in the Village - December 7th, 2024 Recap of Event  Parade participation increased from last year and was well attended.  A Gmail account will be set up through the village for the Committee Chair and Village Employees to use for parade float sign up going forward.  More volunteers are need next year to help with hot cocoa at Village Hall during tree lighting.  The tree lighting was discussed and the plan is to have a large pine planted over at Falkner Park this summer to use for future tree lighting events.  Committee needs to start planning for parade participants in June of 2025, will add to May 2025 agenda. 4. Easter Egg Hunt  Date & Time of event  Budget for event  Purchases needed, i.e. plastic eggs, candy, buckets, stickers.  Volunteers - Fill plastic eggs, day of the event set up, bucket distribution, clean Page 1 of 2  Community Events Committee March 13, 2025 up, Easter Bunny  April 12th at 1pm, backup date of April 19th at 1pm  Budgeted amount is $1,000.00 and is more than enough to cover the costs of this event. Last year we also received donations that covered most of the items needed. We will send out letters to local businesses next week for donations.  Administrator Wendelborn did speak to Brooke Carter regarding photos at the Easter Egg Hunt Event, she is interested in doing so. Administrator Wendelborn or Clerk Loveland will follow up with her in regards to cost.  Cost of eggs and items to stuff them was discussed. It was determined that these would be ordered from Oriental Trading Company, prefilled.  Easter Bunny costume will be used again this year and Tiara Toland volunteered to do this.  Easter Buckets will again be provided and more will be ordered through Oriental Trading.  Set up - Will be done by DPW. Clean up - Michelle, Paul & Tiara volunteered.  Age groups will be 0-3, 4-6 & 7 & up.  Having yard signs & flyers made was suggested and will be done if cost effective. Clerk Loveland will also contact State Bank of Newburg to add to their marquee. 5.
